Medical Office Scheduler – Pain Management & Spine Surgery

Department: Pain Management & Spine Surgery

Job Summary

Southeast Orthopedic Specialists is seeking an experienced Medical Office Scheduler to support our Pain Management and Spine Surgery teams. This role is responsible for coordinating patient appointments, verifying insurance coverage, managing referrals, and serving as a key point of contact for patients, providers, and referring offices. The ideal candidate has prior medical scheduling experience and thrives in a fast-paced, patient-centered, remote environment. Experience supporting Pain Management or Spine Surgery practices is highly desirable.

Key Responsibilities

  • Schedule new patient consultations, procedures, and follow-up appointments for Pain Management and Spine Surgery providers
  • Collect, verify, and update patient demographic and insurance information
  • Verify insurance eligibility and obtain prior authorizations when required
  • Process and track referrals from internal and external providers
  • Manage incoming calls, patient inquiries, and voicemail messages professionally and efficiently
  • Communicate clearly with physicians, clinical staff, and referring offices regarding scheduling needs and documentation
  • Maintain accurate and up-to-date patient records in compliance with HIPAA regulations
  • Ensure a high level of customer service while supporting patients through complex care pathways

Qualifications

  • High school diploma or GED required
  • 2+ years of medical office scheduling experience required
  • Experience in Pain Management, Spine Surgery preferred
  • Familiarity with medical terminology, insurance plans, and referral/authorization processes
  • Strong communication, customer service, and computer skills
  • Ability to multitask, prioritize, and work efficiently in a fast-paced, remote environment
