Summary:
The Events Registrar assists with operational details for events, including, but not limited to, event-related communications before and after all Covenant Events, registration for all Covenant Events, post-event evaluation process, and on-site events support. Responsible for attending staff meetings as scheduled.
Essential Functions
Customer Service:
  • Serve as the primary point of contact for event inquiries, responding promptly, professionally, and courteously via phone, email, and in-person interactions.
  • Build and maintain positive relationships with attendees, vendors, and internal stakeholders through proactive and clear communication.
  • Assist attendees with registration processes and ticketing issues, and provide pre-event information, including directions, parking details, and event schedules.
  • Maintain accurate and up-to-date attendee records and communication logs.
  • Prepare and distribute event-relatedcommunications, including confirmation emails, reminders, and informational updates.
  • Gather feedback from attendees and stakeholders to contribute to the continuous improvement of event experiences.

o Provide on-site customer service during events, acting as a resource for attendees and proactively addressing their needs.
Event Coordination and Support:
o Assist in the logistical planning and execution for all ECC events and/or event support for other Covenant Office events.
o Prepare event materials, including name badges, signage, and informational packets.
o Coordinate with vendors for deliveries, setup, and services as directed by the Director of Events.
o Assist with room setups, as needed, including arranging tables, chairs, and audiovisual equipment according to event layouts.
o Provide on-site support during events, assisting with registration, directing attendees, and resolving any issues that may arise.
o Manage event registrationsupplies and inventory, ensuring adequate stock levels.
o Assist with post-event tasks, such as packing materials, coordinating vendor departures, and collecting feedback.
o Support the Director of Events, as requested, with administrative tasks, including scheduling meetings, preparing documents, and managing correspondence.
o Contribute to the overall success of events by being a proactive and helpful team member.
o Other event-related duties and/or projects as assigned by the Director of Ministry Services, the Director of Covenant Events, the Corporate Secretary, and/or the ECC President.
Requirements
Education and Experience
Requirements: Associate's degree in hospitality, event management, business administration, or a related field preferred. 3-5 years of progressive experience in event registration and administration, with increasing responsibility. Proven ability to manage complex registration processes for large-scale events.

o Excellent organizational and time management skills.
o Strong attention to detail and accuracy.
o Exceptional customer service and communication skills, both written and verbal.
o Works well under pressure and can accomplish multiple tasks, with conflicting priorities and timelines. Ability to track and report progress on a wide range of tasks simultaneously.
o Ability to work independently and as part of a team.
Environment Conditions
Able to work well in professional office settings and remote work settings. Occasional travel. Must be versatile and able to work for prolonged segments, sitting or standing. Must engage frequently with office tools and equipment, such as a computer, copier, phone, web-conferencing equipment, cell communication, printers, etc. Must be able to lift or move items, less than 35 lbs, occasionally. Occasionally, pack and unpack, move and lift boxes that contain event materials.
