Remote / Multi-Site - North America (Supporting 3 Assigned Sites)

The Maintenance Planner is responsible for developing complete, accurate, and executable job plans for maintenance work across three assigned manufacturing sites. This role ensures that work orders contain the necessary scope, materials, labor estimates, permits, technical instructions, and supporting documentation required for safe and efficient execution.
The Planner transforms approved work requests into fully planned work packages and maintains the planned backlog to support effective scheduling and maintenance productivity across assigned sites. This position directly contributes to improved schedule readiness, reduced execution delays, better use of maintenance resources, and consistent work management discipline in a centralized multi-site support model.
The Maintenance Planner works closely with Gatekeepers, Schedulers, Supervisors, Operations, Procurement, Stores, Engineering, contractors, and Local Work Owners at each assigned site to ensure maintenance work is properly defined, resourced, and prepared before execution.
What You Will Do
Work Order Planning and Preparation
  • Review approved work requests from assigned sites and convert them into detailed work orders.
  • Define job scope, required work steps, and technical instructions.
  • Identify required crafts, labor hours, and skill levels.
  • Determine material, parts, tools, equipment, and contractor support needs.
  • Develop job plans that support safe, efficient, and repeatable execution across assigned sites.
  • Build complete work packages that provide technicians with the information needed to execute maintenance work successfully.

Material and Resource Coordination
  • Create material reservations and purchase requisitions as needed.
  • Coordinate with Procurement and Stores to ensure timely material availability for work planned across assigned sites.
  • Verify that required materials are available and staged prior to scheduling where site processes require staging.
  • Identify special tools, rental equipment, contractor support, or outside services required for execution.
  • Communicate material or resource constraints that could delay scheduling or execution.
  • Support improvement of equipment records, bills of material, and parts references in the CMMS.

Work Readiness and Backlog Management
  • Ensure work orders meet Ready-to-Schedule criteria before they are released for scheduling.
  • Maintain a healthy planned backlog for each assigned site to support effective weekly scheduling.
  • Prioritize planning activities based on risk, production impact, safety, regulatory requirements, PM due dates, and site priorities.
  • Review backlog regularly to identify aging, incomplete, duplicate, or improperly scoped work orders.
  • Coordinate with site stakeholders to clarify work scope and resolve planning deficiencies.
  • Support backlog cleanup and work order quality improvement across assigned sites.

Safety, Permits, and Compliance
  • Identify required permits such as hot work, confined space, line break, excavation, lockout/tagout, and other applicable site requirements.
  • Ensure job plans include safety precautions, hazard identification, and risk control expectations.
  • Support compliance with regulatory, environmental, quality, and company safety requirements.
  • Collaborate with Engineering, Operations, EHS, and site leadership on work requiring technical review, Management of Change, or special approvals.
  • Ensure work packages include applicable drawings, procedures, manuals, specifications, and supporting documentation.
  • Incorporate lessons learned and execution feedback into future job plans.

Communication and Coordination Across Assigned Sites
  • Work closely with Gatekeepers and Local Work Owners to clarify work requests and ensure planning information is complete.
  • Collaborate with Schedulers to ensure work is fully planned before scheduling.
  • Communicate with Supervisors and site maintenance resources to validate labor estimates, craft requirements, and execution constraints.
  • Coordinate with Operations to understand equipment conditions, access requirements, production constraints, and preferred execution windows.
  • Balance planning workload across three assigned sites while maintaining consistent planning quality and timely support.
  • Participate in planning, backlog, readiness, and scheduling meetings as required for each assigned site.

Continuous Improvement
  • Update job plans based on feedback from technicians, Supervisors, Schedulers, and site stakeholders.
  • Develop standard job plans for recurring work across assigned sites.
  • Identify opportunities to improve planning accuracy, reduce delays, and improve work execution efficiency.
  • Support reliability and maintenance improvement initiatives by improving work quality, work history, and documentation.
  • Standardize planning practices, templates, and work package expectations where practical across assigned sites.
  • Promote disciplined maintenance work management by reinforcing clear scope definition, complete job planning, and work readiness expectations.

What You Bring
Required Qualifications
  • Experience in maintenance, operations, technical trades, maintenance planning, or maintenance supervision within an industrial or manufacturing environment.
  • Strong technical knowledge of mechanical, electrical, instrumentation, or industrial maintenance systems.
  • Ability to read and interpret drawings, manuals, equipment documentation, procedures, and technical specifications.
  • Proficiency with CMMS/EAM systems such as SAP PM, Maximo, Infor, or similar systems.
  • Strong organizational and planning skills with the ability to manage multiple priorities across assigned sites.
  • Strong communication and collaboration skills to work effectively with site teams and cross-functional support groups.
  • Understanding of maintenance work management processes, including work identification, planning, scheduling, execution, and closeout.
  • Ability to support multiple facilities in a centralized planning model.
  • Willingness to travel periodically to assigned sites as required.

Preferred Qualifications
  • Technical certification, skilled trade qualification, associate degree, or bachelor's degree in a related technical field.
  • Experience with maintenance planning processes and planned backlog management.
  • Experience supporting multiple sites or a centralized maintenance organization.
  • Experience creating standard job plans and reusable maintenance work packages.
  • Knowledge of safety procedures, work permits, lockout/tagout, and regulatory requirements.
  • Experience coordinating materials, procurement, stores, contractor support, or rental equipment.
  • Understanding of maintenance strategies such as preventive maintenance, predictive maintenance, condition-based maintenance, and reliability-centered maintenance.
  • Familiarity with planning and scheduling performance indicators such as schedule compliance, planned work percentage, backlog health, and emergency work percentage.
  • Familiarity with process safety management and mechanical integrity requirements in a chemical or process manufacturing environment.
