Job description

Base salary range: $140,000 - 180,000 **base salary may vary based on geographical area and candidate's experience (Prefer to be located in one of our established offices: Anchorage, AK; Tempe, AZ, Golden, CO, Wilmington, NC, San Antonio, TX, Marysville, WA, but will consider remote work)

Job Summary

This role leads to the development, governance, and implementation of project administration practices across all divisions. Responsibilities include ownership of project-related SOPs, standard workflows, and enterprise systems such as Kahua (Project Management Software) and the Learning Management System. The role supervises project administrators and ensures consistent and compliant execution of subcontract initiation, certified payroll, client and subcontractor pay applications, cash flow forecasting, vendor invoice coding, onboarding workflows, timesheet compliance, and initial monthly ETCs. The position requires deep knowledge of construction project administration, training program development, and enterprise systems implementation. This person will report to the Senior Director of Finance and Accounting.

Essential Functions

• Lead the development, maintenance, and governance of project administration SOPs and standard practices.

• Supervise project administrators, providing guidance, training, and performance management.

• Oversee enterprise systems supporting project administration including Kahua and the LMS.

• Ensure consistent administration of subcontract setup and documentation, pay applications, certified payroll, invoice coding, and related workflows.

• Support project teams with onboarding workflows, timesheet compliance, and initial monthly ETC preparation.

• Monitor project cash flow processes including release of subcontractor payments for pay-when-paid contracts.

• Assist divisional leadership with project and group budgeting and performance monitoring.

• Develop and deliver training related to systems, SOPs, and project administration best practices.

• Partner with division leaders to ensure alignment and adoption of standards across all business units.

• Other duties as assigned.

Competencies

• Strong leadership and team development capabilities.

• Expert-level knowledge of project administration in vertical construction.

• Experience in implementing and managing enterprise project-related systems.

• Ability to develop, document, and maintain SOPs and process standards.

• Strong communication skills with ability to collaborate across functional groups.

Required Education and Experience

• Bachelor's degree in business administration, construction management, or related field, experience can be substituted on a year-for-year basis.

• 10+ years of project administration experience, with at least 5 years in construction.

• Experience supervising administrative/project support staff.

• Experience implementing enterprise systems (Kahua preferred).

• Experience developing and administering corporate training programs.

• Experience developing and administering enterprise wide and project related SOPs.

• Valid driver’s license.

Preferred Education and Experience

• Experience working for an ANC government contractor.

• Experience with LMS and project management software implementation.

• Advanced understanding of project financial workflows and administrative compliance.

• Lifting: must be able to exert up to 50 pounds of force occasionally and up to 20 pounds of force frequently, and/or a negligible amount of force constantly to lift, carry, push, pull or otherwise move objects, including the human body.
