Job description

Dallas IVF is looking for a full-time Patient Financial Counselor to join our growing team at our Frisco location. This is an opportunity to work in the innovative and exciting field of infertility care and be a part of an extraordinary and committed staff. Hybrid schedule available - a mix of on-site and remote work, with flexibility based on team needs.

The Financial Counselor serves as the primary financial liaison for patients throughout their fertility journey. This role is responsible for insurance verification, benefit analysis, prior authorizations, financial counseling, fee collection, and patient account management. The Financial Counselor works collaboratively with providers, billing staff, clinical teams, and front office personnel to ensure patients understand their insurance coverage, financial responsibilities, and available payment options so they can make informed decisions regarding treatment.

The ideal candidate combines strong insurance and billing knowledge with exceptional customer service skills, empathy, and the ability to communicate complex financial information in a clear and compassionate manner.  Applicants should have AT LEAST ONE YEAR previous experience in financial coordination in a healthcare environment and be a high school graduate.

Essential Responsibilities

Patient Financial Counseling & Treatment Support

· Conduct financial consultations with new and established patients regarding fertility treatment costs, insurance coverage, financial responsibilities, payment plans, and financing options.

· Meet with patients following provider consultations to review recommended treatment plans and associated costs.

· Explain insurance benefits, limitations, exclusions, and out-of-pocket expenses in clear, patient-friendly language.

· Review available financing programs, loan options, and alternative payment solutions for patients with limited or no insurance coverage.

· Assist patients in identifying financial assistance programs and available resources when appropriate.

· Prepare and distribute financial estimates, treatment fee letters, and other financial correspondence.

· Serve as a patient advocate and resource for financial and billing-related questions throughout the treatment process.

· Collect payments and coordinate payment arrangements in accordance with practice policies.

· Other duties as assigned.

Insurance Verification & Authorizations

· Verify insurance eligibility and benefits, including in-network and out-of-network coverage, copays, deductibles, coinsurance, exclusions, and lifetime maximums.

· Obtain and document insurance benefits through payer websites, telephone inquiries, and other available resources.

· Secure referrals, prior authorizations, predeterminations, and approvals for procedures, surgeries, and fertility treatment cycles.

· Maintain accurate documentation of insurance benefits, authorizations, and coverage determinations within the electronic medical record.

· Monitor authorization status and communicate approvals, denials, and updates to patients, providers, and billing staff.

· Ensure compliance with all commercial insurance and government payer requirements.

Patient Account & Administrative Support

· Maintain accurate patient demographic, insurance, and financial information within practice management and EMR systems.

· Document all patient interactions, insurance activity, financial discussions, and account updates.

· Communicate with patients and staff through phone, email, portal messaging, and other communication platforms.

· Respond to inbound patient inquiries regarding insurance coverage, treatment costs, billing concerns, and account status.

· Participate in departmental projects and process improvement initiatives.

· Perform other duties as assigned.

Qualifications

Required Qualifications

· High school diploma or equivalent required; Associate degree in Business, Accounting, Healthcare Administration, or related field preferred.

· Excellent customer service and interpersonal skills are a must

· Ability to explain complex insurance and financial concepts clearly and compassionately.

· Minimum two years of experience in a healthcare, medical office, patient financial services, insurance verification, billing, or related role; Experience in infertility highly preferred

· Working knowledge of commercial insurance plans

· Experience obtaining insurance verifications, referrals, prior authorizations, and benefit determinations

· Proficiency with Microsoft Office applications, including Excel.

· Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment

· Ability to work independently while collaborating effectively within a team environment

Preferred Qualifications

· Experience with fertility-specific insurance coverage and authorization requirements

· Prior experience in patient financial counseling, treatment conversion, or healthcare sales

· Experience with electronic medical record systems and practice management software.

· Knowledge of third-party fertility financing and patient assistance programs.
