Position Summary:
The Customer Service Representative serves as a key member of the Customer Experience team, providing exceptional service and support to customers through order management, communication, and problem resolution. This role helps ensure a positive customer experience by responding to inquiries, processing quotes and orders, coordinating with internal departments, and supporting branch operations.
The Customer Service Representative works closely with customers, Sales, Specialists, Solutions, Warehouse, and other internal teams to deliver accurate, timely service while maintaining customer-specific requirements and operational excellence.
Essential Duties and Responsibilities:
Customer Service & Relationship Management
  • Serve as the first point of contact for customer inquiries regarding orders, delivery status, scheduling, products, and services.
  • Manage customer requests and communications with professionalism, urgency, and accuracy.
  • Maintain a high level of customer satisfaction through responsive service and issue resolution.
  • Follow all customer-specific requirements, guidelines, and procedures.

Order Management & Operational Support
  • Accurately enter quotes and orders into company ERP systems.
  • Expedite open quotes and orders to meet customer expectations.
  • Monitor customer inventory levels, including Min/Max and safety stock requirements.
  • Support branch operations and coordinate with internal teams to fulfill customer needs.

Solutions & Process Support
  • Learn and utilize automated and semi-automated customer solutions, including vending and inventory management systems.
  • Support implementation and ongoing operation of customer-specific programs and processes.
  • Assist with product, inventory, and service-related inquiries.

Cross-Functional Collaboration
  • Work closely with Sales, Specialists, Warehouse, Solutions, and Quality teams to ensure service excellence.
  • Coordinate with suppliers and internal stakeholders to source products and resolve issues.
  • Communicate effectively across departments to support customer requirements.

Continuous Improvement & Compliance
  • Participate in ongoing training related to Stellar products, services, systems, and processes.
  • Follow all safety procedures, training requirements, and customer site expectations.
  • Support continuous improvement initiatives that enhance the customer experience.

Other duties, responsibilities, and activities may be assigned or modified at any time to meet business needs
Hours/Schedule:
  • Monday- Friday; 7:30 a.m. - 4:00 p.m.

Education:
  • High school diploma or equivalent required.

Experience:
  • At least two years of professional or volunteer experience in the industrial distribution industry.
  • 2-3 years of customer service, warehouse, distribution, or related experience preferred.

Knowledge, Skills & Abilities:
  • Valid driver's license, reliable transportation, and satisfactory driving record required.
  • Proficiency in Microsoft Office Suite, particularly Outlook and Excel.
  • Excellent verbal and written communication skills.
  • Strong customer service, relationship-building, and problem-solving abilities.
  • Ability to work independently and as part of a team.
  • Experience with ERP systems preferred.

Additional Requirements:
  • Must be at least 18 years of age.
  • Must reside in Washington, Idaho, Oregon, or Montana.
  • Must be able to pass a background check and drug screening.
  • Must be legally authorized to work in the United States.
  • Must maintain regular and reliable attendance.
