Project Coordinator - JLL

As a Project Coordinator within our Project and Development Services team, you will support high-profile commercial real estate design and construction projects. This role combines financial administration, process governance, and digital tool adoption to ensure seamless project delivery and client satisfaction. You'll be responsible for maintaining data accuracy across financial systems, driving process compliance among Project Managers, and proactively identifying opportunities to enhance operational efficiency. What your day-to-day will look like:

  • Financial Management and Compliance Review, track, and process project budgets, vendor proposals, purchase orders, and change orders within financial systems, ensuring all transactions remain within approved project budgets while maintaining exceptional data accuracy.

  • Invoice Reconciliation and Vendor Relations Reconcile vendor invoices against contract agreements, proactively resolve billing discrepancies before they escalate, and serve as a responsive point of contact for vendor inquiries related to purchase orders and invoicing processes.

  • Technology Proficiency and Digital Transformation Demonstrate daily proficiency in JLL and client project management technology platforms, champion adoption of emerging digital tools within the team, and share both successes and lessons learned to advance our digital transformation objectives.

  • Proactive Risk Management Independently identify project-related risks, process inefficiencies, or workflow bottlenecks as they emerge, implement solutions within your scope of authority, and escalate complex issues to leadership with clear context and recommended approaches.

  • Process Auditing and Accountability Actively audit project data entries across all assigned projects, identify compliance gaps, and professionally hold Project Managers accountable to Project Management Office (PMO) standards while collaborating to resolve process bottlenecks before they impact critical reporting deliverables.

  • Continuous Improvement Advocacy Identify best practices and process improvement opportunities based on your day-to-day observations, recommend data-driven solutions to enhance project delivery and operations, and contribute to building a culture of operational excellence.

  • Meeting Participation and Follow-Through Attend program and project calls to capture action items and deliverables, ensure timely follow-up with responsible parties, and maintain accountability structures that keep projects moving forward without delays.

Required Qualifications:

  • Experience Foundation Minimum 2 years of practical experience in project administration, project accounting, or closely related support roles, with demonstrated success managing competing priorities and meeting strict deadlines in fast-paced environments.

  • Financial Systems Proficiency Proven capability in financial reconciliation, purchase order management, vendor invoice processing, and identifying/resolving data inconsistencies within financial management systems.

  • Technology Suite Mastery Daily-use proficiency with both Google Workspace (Docs, Sheets, Slides, Drive) and Microsoft Office (Excel, Word, PowerPoint), with the ability to navigate multiple platforms seamlessly throughout your workday.

  • Process Compliance and Accountability Strong interpersonal skills with proven ability to professionally hold team members accountable to documented procedures, follow up firmly but respectfully on deliverables, and guide colleagues toward consistent process adherence.

  • Communication Excellence Exceptional written and verbal communication skills with demonstrated comfort interfacing professionally across internal project teams, external vendor partners, and client stakeholders at various organizational levels.

  • Technical Competency Tech resilient with demonstrated ability to independently troubleshoot common remote and onsite work setup challenges including VPN connectivity, Single Sign-On (SSO) authentication, external monitor configuration, and peripheral device setup.

  • Coachability and Learning Agility Highly coachable with a proven track record of rapidly learning new digital tools and project management technologies, executing documented procedures without deviation, and adapting quickly to evolving client requirements.

Preferred Qualifications:

  • Industry-Specific Experience Prior experience supporting commercial real estate, design, or construction project management professionals, with familiarity in industry terminology, workflows, and common project delivery challenges.

  • Formal Education Associate or Bachelor's degree from an accredited institution in Accounting, Business, Architecture, Engineering, Construction Management, or related field that demonstrates foundational knowledge relevant to project support functions.

Estimated compensation for this position:

55,000.00 - 64,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
