Job description

Coverall Painting Contractors Inc. is seeking an experienced, dependable Construction Bookkeeper / Job Coordinator to assist with the financial and administrative side of our growing painting and waterproofing business.


This position is ideal for someone who is highly organized, comfortable working independently, and has experience with construction bookkeeping, job costing, billing, and project coordination.


Responsibilities

Manage bookkeeping using QuickBooks Online

Enter and categorize bills, expenses, receipts, and vendor invoices

Perform bank and credit card reconciliations

Track job costs by project

Prepare customer invoices and progress billings

Prepare and track AIA G702/G703 pay applications

Maintain Schedules of Values (SOV)

Track accounts receivable and customer payments

Assist with accounts payable and prepare bills for owner approval

Collect and organize employee time for payroll

Allocate labor and expenses to individual projects

Set up new jobs and maintain electronic job folders

Track contracts, purchase orders, change orders, submittals, and project documents

Track Notices to Owner, lien-related documents, certificates of insurance, and required project paperwork

Maintain customer, general contractor, and vendor information

Assist with bid and proposal tracking

Follow up on outstanding paperwork and payments

Monitor company email and help keep projects organized

Qualifications

Previous bookkeeping or accounting experience required

Construction industry experience strongly preferred

Experience with QuickBooks Online

Strong understanding of job costing

Experience with construction progress billing is a major plus

Experience with G702/G703 pay applications and Schedules of Values preferred

Proficient with email, Microsoft Office, Excel, PDF documents, and cloud-based file systems

Excellent organizational and communication skills

Able to work independently and meet deadlines

Detail-oriented and comfortable handling multiple projects at the same time

Professional and trustworthy with confidential financial information

Part-Time to Start – Approximately 25–30 Hours Per Week

This is primarily a remote/work-from-home position, with occasional meetings or office work in the West Palm Beach area as needed.

The position may develop into a full-time role as the company continues to grow.
