Summary

Responsible for scheduling activities for Asset Management or Transactional project protocols. Plans and implements resource allocation for projects/programs in consideration of project scope complexities, available capacity, resource qualifications/expertise, department productivity and travel to maximize efficiencies, project profitability and overall success.
This is a remote employment opportunity. Typically, you will work at our Ellicott City office on Wednesdays and Thursdays and remote the other three days. 

Essential Duties and Responsibilities
  1. Independently develops resource plans for projects/programs based on the project scope complexity, qualifications/expertise, travel efficiencies, department productivity and capacity to maximize project profitability and success. Project scopes vary in complexity due to different facility types, protocols, client-specific requirements, contractually agreed upon turn-around times, local regulations and code, geographic locations, and site conditions.
  2. Responsible for analyzing and deploying resource pool in relation to project needs, to quickly select and deploy field resources to execute multiple projects simultaneously and in a cost-effective manner. 
  3. Ability to communicate clearly with team members and client representatives.
  4. Manages internal and external field resource pool through web-based project management system, including managing availability, geographic locations, qualifications, skillsets, and maps/negotiates employee compensation within program guidelines.
  5. Evaluates field capacity against forecasted resource needs and communicates with key stakeholders to ensure adequate level of field staff both geographically and with the required qualifications/skillsets.
  6. Analyzes field capacity against forecasted resource needs and communicates with key stakeholders, including leadership and Sales team, on how quickly operations can execute on potential projects/programs.
  7. Liaison between operational leadership, project resources, clients, and client representatives.
  8. Works across division lines to identify potential qualified, cost-effective resources for upcoming projects and identify future cross-resourcing opportunities with field staff.
  9. Determines alternate resourcing solutions when travel costs exceed budgeted goals, including evaluation of utilizing internal full-time staff, per-project staff, desktop resources, and/or external subcontractors.
  10. Analyzes various datasets to evaluate project/program progress, delivery schedules, potential challenges and develop/implement necessary solutions in a timely manner.
Essential Duties and Responsibilities continued
  1. Provides guidance and resolves challenges in relation to point of contacts, site access, site information, report deliverables and project resources.
  2. Maintains responsibility for Client Supplied Materials (CSM) by identifying and organizing valid documents, as-builts, prior reports, and ensuring assigned field staff have applicable project documents prior to onsite.
  3. Participates in and facilitates project/program setup, client kick-off meetings, and internal project kick-off meetings.
  4. Designs, implements and/or executes operational and organizational initiatives.
  5. Protects operations by keeping company information confidential.
  6. Delivers outstanding customer service through timely response and proactive solutions to clients' needs.
  7. Demonstrates BV's guiding principles in support of the company's strategic goals.
  8. Follows all documented policies, Standard Operating Procedures, and Work Instructions applicable to the position and support of BV's quality standards and strategic initiatives.
  9. Maintains safe and clean work area by complying with all procedures, rules, and regulations.
  10. May be required to work overtime with prior authorization from supervisor.
  11. Must be able to meet the physical demands of the job.
Division Specific Duties and Responsibilities
  1. Assist field and operations teams with administrative support of projects from initiation to close-out.
  2. Assist with documenting and reporting on project expectations and requirements.
  3. Maintain administrative data in scheduling and accounting tools to include schedule data entry, qualification updates, Internal Due to Client changes, reviewer updates, project details, project confirmation, and Project Work Plan release.
  4. Attend internal and external calls and assist with documenting and reporting on project expectations and requirements.
  5. Maintain field resource licenses and qualifications in scheduling databases.
  6. Utilize Bureau Veritas and external databases to track and report project metrics, verify building types, square footage, data gaps, and time credit discrepancies.
  7. Process Client Supplied Materials (CSM) by identifying and organizing valid documents, as-builts, and prior reports.
  8. Plan and implement resource allocation for projects in consideration of project scope complexities, available capacity, resource qualifications and expertise, department productivity, and travel to maximize efficiencies, and profitability.
  9. Schedules projects while considering efficiencies in travel, project location, type of project, client due date, turnaround time, on-site time, write time, due-to-production dates, flex capacity, and department productivity.
  10. Negotiate fees with flex capacity while optimizing financial performance of the project.
  11. Initiate and communicate purchase orders.
  12. Regularly and correctly update scheduling databases and maintain knowledge of full-time, part-time employees, and subcontractor availability.
  13. Coordinate all onsite schedules with divisions and provide one communication to the client.
  14. Assemble and distribute all documents for the on-site assessment including PWP, maps, CSM, and priors.
  15. Resolve challenges in relation to point of contacts, site access, and site information.
  16. Proactively identify scheduling conflicts and resolve immediately.
  17. Maintain knowledge of the project specific background check requirements and the internal process to track clearance completions.
  18. Identify shadow and mock write opportunities for new hires/training needs.
Supervisory Responsibilities

This job does not have direct supervisory responsibilities. May indirectly supervise employees within the team in accordance with the organization's policies and applicable laws. Responsibilities include training employees, planning, assigning, and directing work.

Qualifications

Education and/or ExperienceBachelor's degree (B.A. or B.S.) from four-year college or university in related field; minimum of one year of related experience. In lieu of degree, two years of related experience and/or training, or equivalent combination of education and experience.

Language Ability: Ability to write reports, business correspondence, and standard operating procedures. Ability to effectively present information and respond to questions from clients, peers, and technical field staff.

Reasoning AbilityAbility to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of instructions and deal with several abstract and concrete variables.  Professional discretion and the ability to clearly communicate the aforementioned both externally and internally are paramount to this role. 

Technology Skills: To perform this job successfully, an individual must be proficient in operating a computer, having knowledge of word processing software, spreadsheet software, and project management software.
