Job description

Job Summary:
This position is a key resource for assisting the Construction Coordination team with administrative tasks in connection with the project documentation, data entry and order maintenance for the construction division. This position will handle various clerical tasks involving form input and document file maintenance. The eligible duties could involve the assignment of one or more of the following:
Essential Duties/Responsibilities:
  • Rental Purchase Order Duties:
    • Monitor Rental Inbox for new requests
    • Daily Rental Purchase Order issuance
    • Rental Invoice Requests
    • Data entry to itemize all rental invoices for the construction division
    • Upkeep and distribution of rental tracker
    • Timely monitoring and closeout of all open rental purchase orders
    • Confirming rental call offs
    • Source additional rental companies as needed
  • Service Dispatch Review
    • Monitor widget for service calls sent to construction
    • Email Project Manager to advise if service calls for active contracts are construction or service responsibility.
    • Timely monitoring and resolution of all dispatches in widget
  • ADP Wisley Travel Card Funding
    • Fund Wisley cards daily, add to job costs
    • Maintain a spreadsheet of all funding
    • Audit funding weekly
  • Permit:
    • Contact the jurisdiction via portal, email or phone call.
    • Permit Tracking
    • Schedule inspection.
    • loading current trade licenses into portals.
    • Filing permit documentation.
    • Payment processing
  • Backup to Subcontractor Documentation including:
    • W9s and current COIs on file for all subcontractors
    • Issuing/Tracking AIA Master Subcontract Agreements
    • Processing/issuing project specific AIA Work Orders and Change Orders
    • Back up to Requesting and Maintaining waiver requests and check releases
  • Perform other related duties as required and assigned

Basic Qualifications:
  • Very strong attention to detail
  • Must be able to work in a fast paced department and be able to prioritize requests.
  • Mature judgment and strong organizational skills
  • Use of analytical abilities to problem solve and anticipate departmental requirements

Education/Experience:
  • High School Diploma/ GED
  • At least one year of office experience
  • Computer knowledge preferred to include: MS Office- Word, Excel and Outlook

Physical Requirements:
Regularly required to sit; occasionally required to stand; walk; occasionally lift and/or move up to 15 pounds; noise level is usually quiet.
