Location: Bethesda, MD

Salary: $82,000 - $100,000 / year

Work Schedule: Full time, Monday - Friday 8:30a - 5:30pm. The position follows a hybrid schedule with four days per week in the office and remote flexibility on Fridays.

Addison Group is partnering with a well-established real estate investment management organization to identify a Client Services Operations Specialist. This organization manages investments across a diverse range of commercial real estate asset classes and is known for its collaborative, team-oriented environment.

This position will join a lean Marketing and Client Services team that supports the organization’s brand, communications, investor engagement, and business development efforts. The team works closely with internal stakeholders and senior leadership to ensure clients and prospects receive accurate, timely, and professional communication and support.

Job Description:

We are seeking an experienced administrative and operations professional to provide essential support to a Marketing and Client Services team. This individual will serve as a dependable resource across a variety of administrative, client service, and operational responsibilities.

The ideal candidate enjoys being a long-term support partner, takes pride in keeping processes organized, and is comfortable managing a variety of responsibilities at once. This is a great opportunity for someone with extensive administrative experience who is looking for a stable position where they can become a trusted and reliable member of the team.

Key Responsibilities:

  • Manage and maintain client and contact information within Salesforce, including data updates, uploads, and report generation.
  • Serve as a primary point of contact for a shared client services inbox, helping route inquiries and coordinate appropriate follow-up.
  • Assist with client portal questions and work with internal teams and external vendors to resolve issues.
  • Coordinate logistics for client events, industry conferences, sponsorships, and other business development activities.
  • Support meeting and event planning, including materials, registrations, supplies, and vendor coordination.
  • Process invoices, check requests, sponsorship expenses, memberships, subscriptions, and other administrative requests.
  • Coordinate the ordering and procurement of presentation materials, printed collateral, promotional items, and event supplies.
  • Build, update, and format PowerPoint presentations and other business materials.
  • Pull routine and ad hoc reports and help maintain accurate client service information.
  • Provide backup support for client questionnaires, information requests, and other time-sensitive deliverables.
  • Partner with team members across the organization and provide additional administrative and operational support as needed.

Qualifications:

  • 10+ years of experience in an Administrative Assistant, Executive Assistant, Operations Support, or similar administrative support capacity.
  • Experience supporting teams within professional services, financial services, real estate, marketing, communications, investor relations, or a similar corporate environment is preferred.
  • Strong PowerPoint skills with the ability to create, edit, format, and update professional presentation decks.
  • Proficiency in Microsoft Office, including PowerPoint, Excel, and Word.
  • Experience using Salesforce or another CRM system is a plus.
  • Experience supporting marketing, communications, client service, or business development functions is preferred.
  • Highly organized with strong attention to detail and the ability to manage multiple priorities and deadlines.
  • Comfortable working independently, learning new systems, and taking ownership of responsibilities.
  • Strong communication and interpersonal skills with a collaborative approach to working with others.
  • Reliable, proactive, and comfortable serving as a long-term administrative and operational resource to a team.

Additional Details:

Pay: $82,000–$100,000 annually

Why the role is open: This is a replacement hire due to an upcoming retirement.
