Position Summary

The Clinic Marketing Coordinator owns the day-to-day marketing relationship with Indigenous Pact's Care Community (healthcare clinic) partners, executing B2C and B2B awareness campaigns across print and digital channels and keeping each clinic's collateral, print shop, website, email lists, and local listings current and on-brand.

Reporting to the Senior Marketing Manager, Operations, this person is the clinic partners' regular point of contact for marketing execution — running recurring check-ins, staying responsive to email requests, tracking acquisition, conversion, and retention performance with the ROOTS team, and delivering an agency-level standard of service.

Strong Canva and clinic-platform fluency, responsive client-service instincts, and comfort tracking performance metrics are the core of the job.

Core Responsibilities

Project & Workflow Coordination

  • Manage and update Clinic Asana boards across clinic partner, and B2C workstreams, triaging requests, keeping tasks, deadlines, and statuses current.
  • Draft meeting recaps and action-item trackers in the team's established format for recurring meetings and cross-functional syncs.
  • Provide general administrative and coordination support to partner clinic staff, clinic administrators, care community leaders, and outreach coordinators.
  • Coordinate logistics for print orders, promotional merchandise and the ProShop print portal.

Clinic Campaign & Content Execution

  • Plan and execute B2C and B2B awareness campaigns for Care Community clinic partners spanning print and digital channels, from concept through launch.
  • Coordinate multi-channel campaign rollouts (print collateral, digital ads, email, signage) to keep messaging and timing consistent across channels for each clinic.
  • Design clinic collateral and digital assets in Canva, including digital and print ads, brochures and flyers, signage, and email creative.
  • Maintain brand consistency across all materials produced for each clinic partner.

Print Shop & Collateral Management

  • Maintain and update collateral materials in each clinic's print shop (e.g., VistaPrint Pro Shop), keeping designs current, accurate, and reflective of active campaigns.
  • Manage clinic print shop storefronts, including catalog upkeep and troubleshooting order or setup issues.

Website & Local Presence Management

  • Make routine website updates for clinic partners in Squarespace, including content edits, page updates, and new page builds as clinics require.
  • Manage local SEO optimization via BrightLocal, keeping clinic business listings accurate and consistent across directories.
  • Maintain and update Google Business Profiles for clinic partners, including hours, services, photos, and responses to reviews as needed.

Email Marketing & List Management

  • Build and send email campaigns in Mailchimp for clinic partners, including copy population, segmentation, and scheduling.
  • Maintain and clean Mailchimp audience lists, including reconfirmation workflows for inherited or legacy contact lists.

Compliance Forms

  • Maintain and update clinic Jotforms, including intake and other clinic-facing forms, keeping content and form logic accurate and current.

Clinic Relationship & Meeting Coordination

  • Serve as each clinic partner's primary marketing point of contact maintaining responsive, agency-level service through email communication and scheduled meetings.
  • Run recurring bi-weekly or monthly check-in meetings with clinic partners, tracking requests and following up promptly on action items.
  • Facilitate Communication on Clinic Efforts for Indigenous Pact team members.

Qualifications

Required

  • Bachelor's degree in Marketing, Communications, Business, Public Health, or a related field, or equivalent professional experience.
  • 1–3 years of marketing experience; experience supporting healthcare clinics, provider offices, or similar patient-facing organizations is strongly preferred.
  • Working proficiency in Canva for designing print collateral, signage, and email creative.
  • Working knowledge of Squarespace and Mailchimp.
  • Hands-on experience with Jotform or a similar form-builder platform.
  • Excellent relationship-management skills, with the ability to run recurring check-ins and stay responsive over email with external clinic partner contacts.
  • Comfort working with performance metrics (acquisition, conversion, retention) and collaborating cross-functionally with the ROOTS team.

Preferred

  • Familiarly with HIPPA and compliance standards in marketing communications and data management.
  • Familiarity with BrightLocal or a similar local SEO/listings tool, and with managing Google Business Profiles.
  • Experience in marketing agency, healthcare, mission-driven, or nonprofit organizations.
  • Prior experience with or exposure to Indigenous, Tribal, or Native American communities.
