What is a remote estate manager?

A Remote Estate Manager is a professional responsible for overseeing and managing the operations of an estate or property from a remote location. They coordinate maintenance, manage staff, handle finances, and ensure the smooth running of the estate, often using digital tools and regular communication with on-site personnel. This role allows estate owners to have their properties efficiently managed without the need for the manager to be physically present, making it ideal for those who own multiple properties or travel frequently.

How does a remote estate manager effectively oversee property operations without being on-site?

A Remote Estate Manager typically leverages technology and strong communication to oversee property operations from a distance. They coordinate with on-site staff, vendors, and service providers through video calls, management platforms, and regular reporting to ensure maintenance, security, and guest or resident needs are met. Success in this role often depends on establishing clear procedures, fostering trust with local teams, and using digital tools for scheduling, budgeting, and monitoring tasks. Many managers also conduct periodic site visits to maintain relationships and address any issues that require in-person attention.

What are the key skills and qualifications needed to thrive as a remote estate manager, and why are they important?

To thrive as a Remote Estate Manager, you need strong organizational abilities, property management experience, and often a background in real estate or hospitality. Exceptional communication, problem-solving, and self-motivation are standout soft skills in this role. These skills and qualifications are vital for efficiently overseeing multiple properties from a distance, ensuring high standards of maintenance, client satisfaction, and seamless operations.

Job description

Real Estate Transaction Coordinator

Are you the kind of person who secretly loves a perfectly organized checklist, a clean contract, and the satisfaction of getting a deal across the finish line? Do you thrive in fast-paced environments where every day is different, and your work truly matters?

You are the calm in the chaos, the steady hand in the process, and the person our agents trust to make sure nothing slips through the cracks.

If you enjoy being the behind-the-scenes MVP who keeps everything moving smoothly, you'll love this role.

What You'll Be Doing

  • You'll take ownership of the transaction process from start to finish
  • Managing residential real estate transactions from listing to closing
  • Reviewing contracts, disclosures, and addenda for accuracy and compliance
  • Serving as the central point of communication between agents, clients, and title/escrow
  • Tracking deadlines and contingencies to ensure smooth, on-time closings
  • Keeping files audit-ready and fully compliant with brokerage and state requirements
  • Problem-solving proactively when challenges arise
  • Maintaining organized digital records in our transaction management systems
  • Supporting agents with documentation, timelines, and process clarity
  • Identifying smarter, more efficient ways to improve workflows
  • Upholding the elevated service standards that define Summit Sotheby's

This is a role where your organization, foresight, and follow-through directly impact the success of every deal.

About You

You're not just organized. You're unshakeable under pressure, proactive, and energized by responsibility.

You likely have:

  • 2+ years of Nevada, Idaho, Utah, or California residential transaction management experience
  • Strong knowledge of Nevada contracts and compliance (Idaho, Utah, or California experience is a plus)
  • The ability to manage multiple transactions with minimal supervision
  • A calm, solutions-first mindset
  • High accountability and attention to detail
  • A desire to grow long-term within real estate operations
  • Strong communication skills and the ability to connect with different personalities
  • Confidence using Google Workspace, Microsoft Office, and Apple products
  • A natural curiosity about systems and technology that increase efficiency

Most importantly, you take pride in your work and genuinely enjoy helping others succeed.
