Position Summary

The Epic Subject Matter Expert (SME) serves as the organization's primary resource for Epic-related processes, workflows, and optimization opportunities. This role combines strategic thinking with hands-on execution to identify improvement opportunities, develop practical solutions, and implement changes that enhance operational performance and user experience.

The ideal candidate can assess business needs, recommend solutions, and independently drive activities such as workflow analysis, system configuration, testing, training, troubleshooting, and adoption support. This individual partners closely with clinical, operational, and technical stakeholders to ensure Epic capabilities are effectively aligned with organizational objectives.

Key Responsibilities


Strategic Planning & Optimization

  • Evaluate current workflows, processes, and system utilization to identify opportunities for improvement.
  • Develop recommendations that align Epic functionality with business and operational goals.
  • Create actionable plans for system enhancements, workflow redesigns, and process improvements.
  • Assess new Epic features and functionality and recommend opportunities for adoption.


Hands-On Execution

  • Design, configure, test, and implement Epic enhancements and system changes.
  • Gather and document business requirements and translate them into functional solutions.
  • Perform workflow analysis and implement process improvements.
  • Support upgrade activities, testing efforts, and go-live initiatives.
  • Troubleshoot and resolve complex application and workflow issues.
  • Monitor outcomes and adjust solutions as needed to ensure desired results.


Stakeholder Collaboration

  • Act as the primary point of contact for assigned Epic applications and workflows.
  • Partner with operational, clinical, and technical teams to understand needs and priorities.
  • Facilitate discussions to gather requirements and build consensus around solutions.
  • Communicate project updates, recommendations, and impacts to stakeholders.


Change Enablement & Support

  • Develop training materials, job aids, and user guidance.
  • Support end-user adoption of new workflows and system functionality.
  • Provide subject matter expertise during project planning, implementation, and optimization efforts.
  • Mentor users and provide ongoing support to improve system utilization.


Continuous Improvement

  • Analyze user feedback, operational metrics, and system performance data.
  • Recommend and implement enhancements that improve efficiency, quality, and user satisfaction.
  • Maintain documentation related to workflows, system configurations, and business processes.
  • Ensure solutions align with organizational standards and compliance requirements.

Data & Analytics

  • Analyze operational metrics, Epic reporting, and user feedback to identify trends, prioritize enhancements, and measure the effectiveness of implemented solutions.


Governance

  • Participate in Epic governance by evaluating enhancement requests, prioritizing initiatives, assessing organizational impact, and recommending implementation strategies.


Interoperability

  • Collaborate on interfaces, FHIR APIs, HL7 integrations, and third-party applications to ensure seamless interoperability across the healthcare ecosystem.


AI & Automation

  • Evaluate opportunities to leverage artificial intelligence, workflow automation, and clinical decision support technologies to improve operational efficiency and user experience.


Business Process Improvement

  • Lead workflow redesign initiatives that simplify processes, reduce manual effort, eliminate variation, and improve organizational performance.


Project Leadership

  • Lead assigned Epic optimization projects from requirements through implementation, testing, adoption, and post-implementation measurement.


Vendor & Epic Relationship Management

  • Serve as the primary liaison with Epic and third-party vendors to evaluate new functionality, coordinate issue resolution, and support strategic initiatives.


Success Measures

  • Success in this role is measured by improvements in workflow efficiency, user adoption, system utilization, operational performance, and delivery of measurable business outcomes.


Required Qualifications

  • Bachelor's degree in Healthcare Administration, Information Systems, Business, Nursing, or related field, or equivalent experience.
  • 5+ years of Epic application experience, including implementation, optimization, and support.
  • Epic certification(s) in applicable modules.
  • Demonstrated ability to both develop recommendations and execute associated work products.
  • Strong analytical, problem-solving, and organizational skills.
  • Experience working with cross-functional teams and managing multiple priorities simultaneously.
