Job description

The Program Relations Associate (PRA) will be responsible for providing service and logistical support to the accounts managed by the Regional Representative team for the National Inventors Hall of Fame STEM education programs.
Position Responsibilities (training is provided):
  • Partner with Regional Representatives to support, develop, and help drive initiatives and strategies to grow NIHF programming footprint and enrollment
  • Deliver superior experience for our internal and external customer in assigned region
  • Communicate with local Program Team Members to coordinate and track the approval, editing, ordering, and distribution of flyers
  • Respond to internal/external tasks and inquiries via various forms of communication in a timely manner
  • Coordinate the approval and placement of regional ads, both trade and consumer, including publication and cost research, communicating with the Creative team, and ensuring payment requirements are met
  • Manage logistical implementation of regional tradeshow attendance by our Regional Representatives including registration, ad placement, sponsorships, and shipping of tradeshow materials
  • Responsible for program set up and tracking activities in the computer system – entering new and returning program information, tracking and initiating milestones for each step, including materials shipment orders, Program Team Member agreement requirements, and Letters of Agreements
  • Create and distribute region specific sales reports, tracking and related data; program rosters, program numbers versus goals, sales lead status, and follow up reminders
  • Work closely and collaboratively with Sales, Operations, Communications, Accounting, and Warehouse staff to ensure a seamless internal support system exists for our ultimate customer
  • Support prospecting, new initiatives, and sales support needs as directed by Regional Representative team and leadership
  • Coordinate and process prospect mailings from start to finish, including post-receipt follow-up via email or phone
  • Manage Program Team Member agreements for assigned regions including initial communications, tracking completed and outstanding agreements, and following up on outstanding agreements
  • Coordinate with Accounting team on outgoing invoices and payments coming into the organization
  • Research contact information and/or address details of target schools or districts; assist Regional Representative with calls, emails, and appointments of potential leads and contacts
  • Support and guide initiatives to help raise funds for camper scholarships
  • Work closely with Fundraising and Customer Relations teams to track and apply scholarships
  • Process end of program closeout paperwork for all NIHF programming
  • Help facilitate peer, team, and cross-departmental projects and other duties as assigned

Credentials and Experience:
