Job description

Administrative Coordinator Requisition ID req36596 Working Title Administrative Coordinator Position Grade 10 Position Summary

This is a temporary, remote position with the Administrative Hearing Office:  July 13, 2026 - October 14, 2026.  
The Administrative Hearing Office is an independent office that coordinates and conducts virtual administrative hearings for the University Community.  The goal of the hearing process is to resolve allegations of discrimination, Title IX matters, student conduct violations, personnel matters, and other related matters. 

The Administrative Coordinator manages the end-to-end lifecycle of administrative hearings, including but not limited to, case intake, communicating with participants, scheduling proceedings, sending required notices and information, and attending the proceedings to manage the Zoom platform. The Administrative Coordinator works closely with the Administrative Hearing Officer ensuring alignment in schedules and proper distribution of information.  This role is responsible for coordinating multiple hearings simultaneously that must adhere to procedural timelines.  The Administrative Coordinator may encounter hearing participants that are navigating emotionally complex situations and/or have experienced traumatic situations.  It is important that this role exhibit professionalism and provide support while maintaining appropriate boundaries.

The ideal candidate will exercise discretion and maintain the highest standards of confidentiality, thrives in a detail-oriented environment, and can demonstrate high-level flexibility in managing a fluid hearing docket.

Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Bachelor’s degree preferred.
  • Completion of an ABA-approved Paralegal Studies program or a Paralegal Certificate.
  • Extensive Zoom virtual platform experience.
  • Strong professional writing skills.
  • Proficient Microsoft Office (Outlook, Word, Teams).
