Location: Philippines (100% On-Site / Office-Based)
Employment Type: Full-Time, Regular Local Contract
Monthly Compensation Package: PHP 37,000 (Base Gross Compensation)
Work Schedule: Monday to Friday, 8:00 AM - 5:00 PM MST (Mountain Standard Time)
Note for Candidates: This shift runs on US Mountain Standard Time, operating as a night-shift schedule in local Philippine Standard Time (PHT). Fully compliant with local statutory night differential and premium guidelines where applicable.
About the Role The Healthcare Data Entry Specialist is responsible for maintaining the accuracy and absolute integrity of patient information within our medical databases. This is an essential junior-level, back-office role that demands a high degree of processing speed, exceptional organization, and a solid foundation in healthcare terminology. The specialist will focus on updating complex medical histories, demographic charts, and medication logs, ensuring that all vital documentation is securely processed according to strict compliance and privacy standards.
Key Responsibilities Medical Data Entry & Record Maintenance
Patient Demographics: Accurately enter and update personal files, insurance details, and primary contact data within the Electronic Health Record (EHR) system.
Clinical Data Management: Seamlessly input and update prescriptive medication logs, documented allergy lists, and historical medical charting based on professional clinical documentation.
Record Organization: Review, categorize, code, and save digital medical files (including PDFs, diagnostic lab results, and physician consultation notes) into designated folders within the system.
Pipeline Management: Maintain and monitor active digital tracking logs (via Excel or internal systems) to ensure all pending record updates are finalized within specified timeframes.
Accuracy, Quality Control & Compliance
Conduct routine data audits to identify, flag, and correct clerical inconsistencies, duplicate records, or missing information.
Ensure all data handling and administrative processing adheres strictly to international healthcare compliance regulations (HIPAA / Data Privacy Act guidelines).
Verify complex medical terminology, spelling, and generic/brand medication names for total accuracy during the live entry process.
Communication & Internal Coordination
Coordinate with internal clinical personnel to ensure targeted patient files are fully updated ahead of scheduled medical appointments or corporate billing cycles.
Report platform irregularities, processing bottlenecks, or recurring data discrepancy patterns to the direct supervisor.
Position Requirements (Skills & Qualifications) Language Capabilities
Spanish Fluency: Advanced verbal and written Spanish proficiency (Native or C1/C2 equivalent) is required to process multicultural data assets fluidly.
English Literacy: Strong professional English reading and writing skills are essential for navigating systems and interpreting medical documentation.
Experience & Technical Profile
Proven professional background in healthcare administration, medical data entry, or a closely related support role within the medical BPO/health sector.
Technical Skills: High proficiency in Microsoft Excel (efficient data entry, cell formatting, and basic navigation), digital document sorting (PDFs), and cloud email communication platforms.
Prior operational familiarity navigating Electronic Health Records (EHR) or Electronic Medical Records (EMR) software platforms is a distinct advantage.
