Summary
This Program Support Assistant position is located at the Lebanon VA Medical Center in the High Reliability Service (HRO) . The purpose of this position is to coordinate administrative and support services to assist the HRO in fulfilling requirements related to VHA's academic mission and program requirements of Office of Academic Affiliations (OAA) and HPE accrediting bodies.

Major duties include, but are not limited to:
  • Provide technical and administrative support to the High Reliability Service and corresponding programs.
  • Provides administrative support person and provides comprehensive office administrative assistance for HRO.
  • Demonstrates impeccable time management and organizational skills and ability to work independently, with a high degree of flexibility. Maintains employee files, prepares performance appraisal forms for HRO and ensures all information is kept private.
  • Understands importance and maintains confidentiality of all reports generated from HRO Programs.
  • Provides assistance to other programs within HRO and Quality Management Department as various needs arise.
  • Provides program support assistance for variety of administrative and clerical duties, including but not limited to Purchase Card Management, Timekeeping, Work Order Entry, Supplies Ordering & Inventory Management, Data Entry, Daily Reporting, and MCP Management.
  • Responsible for attending assigned committees under HRO (and others as assigned) and maintaining accurate and timely meeting agendas and minutes, which includes the ability to assemble data in a concise manner and type timely, professionally finished reports
  • Performs a variety of functions that support the mission of the organization including serving as back-up to the Veteran Experience Representatives and participating in activities which drive a High Reliability Organization
  • Performing other duties as assigned.

Work Schedule: Monday-Friday 7:30 a.m. - 4:00 p.m.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/10/2026.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
You may qualify based on your experience and/or education as described below:
  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include but are not limited to performing administrative functions, office operations and technology support for an organization, establishing and maintaining filing systems, experience using automated software applications such as Microsoft Office Suite (Word, Excel, Access and Power Point), typing letters, memos and reports and maintaining calendars and schedules.
