This is a remote position.

Position Summary

GEO Academies is seeking a Documentation & Operations Specialist to support the organization by maintaining accurate business records, organizing operational information, preparing internal documentation, and helping teams keep processes consistent and well organized.

This position is suited for someone who enjoys working with documents, records, procedures, spreadsheets, and operational details. The successful candidate will work across departments, maintain organized information, monitor documentation requirements, and help improve how routine processes are recorded and managed.

Key Responsibilities

* Maintain and organize digital records, operational documents, forms, templates, and reference materials.
* Review documents for completeness, accuracy, consistency, and proper formatting.
* Update procedures, workflow guides, instructions, and internal reference documents as processes change.
* Track documentation requests, pending items, revisions, and completion deadlines.
* Enter, verify, and maintain operational information in spreadsheets and internal systems.
* Assist departments with preparing reports, summaries, forms, and supporting documentation.
* Maintain organized electronic filing systems and document repositories.
* Identify missing, outdated, duplicated, or inconsistent information and coordinate appropriate corrections.
* Support recurring operational reviews by compiling documentation and status information.
* Help standardize templates and documentation practices across routine business processes.
* Coordinate with internal teams when additional information or clarification is needed.
* Maintain version control for frequently updated documents.
* Assist with onboarding materials, process guides, and internal resources.
* Protect confidential organizational, employee, and student-related information.
* Support operational projects and other documentation-related assignments as needed.
* Recommend practical improvements that can make documentation and record keeping more efficient.

Requirements
* High school diploma or equivalent.
* At least one year of experience in documentation, administration, records management, operations, data entry, customer support, or a related field.
* Strong attention to detail and accuracy.
* Comfortable working with documents, spreadsheets, databases, and digital filing systems.
* Strong written communication and organizational skills.
* Ability to manage multiple assignments and meet deadlines.
* Comfortable working independently in a remote environment.
* Working knowledge of Microsoft Office or Google Workspace.
