Program Support / Administrative Support Specialist

Location: Boston, MA 02108
Contract: 6 Months
Employment Type: Part-Time, Remote
Hours: 15-20 hours/week
Core Hours: 10:00 AM-2:00 PM ET
Pay Rate: $23/hour W2

Position Summary

We are seeking a Program Support / Administrative Support Specialist to provide administrative and program coordination support and help ensure efficient day-to-day operations.

The ideal candidate is organized, dependable, detail-oriented, and comfortable working independently in a remote environment. This role requires strong communication skills, proficiency with Microsoft Office, and the ability to manage multiple priorities and deadlines.

Key Responsibilities
  • Provide general administrative and program support.
  • Manage emails, calendars, meetings, reminders, and meeting materials.
  • Schedule meetings across multiple time zones and coordinate availability.
  • Communicate professionally with healthcare providers, partners, coworkers, and the public.
  • Prepare meeting notes, action items, and follow-up communications.
  • Maintain spreadsheets, trackers, shared files, and program documentation.
  • Use Microsoft Office and SharePoint to organize and maintain records.
  • Format documents, presentations, reports, and other materials.
  • Draft routine correspondence and respond to general inquiries.
  • Provide administrative support to team members as priorities change.
  • Maintain professional relationships with internal and external stakeholders.
  • Communicate policies, procedures, and administrative information clearly.
  • Handle sensitive information with discretion.
  • Support a remote team and adapt to changing priorities.
Required Qualifications
  • 1+ year of experience in administrative support, program coordination, customer service, or a related role.
  • Strong organizational and time-management skills.
  • Ability to work independently and manage multiple priorities.
  • 2+ years of proficiency with Microsoft Office, including:
    • Microsoft Outlook
    • Microsoft Word
    • Microsoft Excel
    • Microsoft PowerPoint
  • 2+ years of professional written communication experience.
  • Strong verbal and written communication skills.
  • Ability to work effectively with diverse audiences.
  • Reliable, secure, high-speed internet connection with appropriate security/encryption.
  • Private, distraction-free workspace suitable for remote work.
  • Availability during 10:00 AM-2:00 PM ET core hours.
  • Ability to work 15-20 hours per week.
Preferred Qualifications
  • Experience supporting remote or distributed teams.
  • Microsoft Teams experience.
  • Healthcare, public health, or immigration services experience.
  • Spanish language proficiency.
