As a Project Coordinator, you will support overall project performance by assisting with cost control, scheduling, documentation, and project reporting. Reporting to the Project Manager, this role plays a key part in ensuring project information is accurate, timely, and aligned with contractual and operational requirements.

This position is well suited for a detail-oriented construction professional who thrives in a fast-paced environment and enjoys supporting project delivery from start to finish.

Key ResponsibilitiesDocument Control & Project Administration
  • Review and manage project submittals to ensure compliance with subcontract scope, specifications, and contract drawings.
  • Review and process Requests for Information (RFIs), ensuring inquiries are valid and cannot be resolved through contract documents, drawings, or specifications.
  • Prepare and compile supporting documentation for RFIs, including photos, sketches, and field information.
  • Maintain organized and accurate project documentation throughout the project lifecycle.
Cost Control & Project Financial Support
  • Log and distribute Requests for Quotation (RFQs) to subcontractors in a timely manner using Procore and in accordance with company procedures.
  • Prepare and submit Project Change Orders (PCOs/CORs) to owners and consultants.
  • Maintain accurate pricing logs, cost tracking reports, and related documentation within project systems.
  • Support project cost tracking and assist in maintaining financial accuracy across active projects.
Scheduling & Project Coordination
  • Develop, maintain, and implement procurement and submission schedules based on project requirements and construction timelines.
  • Coordinate with field staff to establish realistic submission and approval timelines.
  • Monitor project schedules and proactively communicate updates or revisions to all stakeholders.
  • Identify potential delays or scheduling conflicts and escalate issues in collaboration with the Project Manager.
  • Support overall project scheduling accuracy and coordination across trades and consultants.
Contracts, Drawings & Specifications
  • Interpret and understand prime contracts, subcontract agreements, drawings, and specifications.
  • Support review of subcontractor scopes of work, including inclusions, exclusions, and contractual limitations.
  • Assist in ensuring all project documentation aligns with contract requirements and project execution plans.
  • Maintain awareness of contractual obligations and assist in identifying potential risks or discrepancies.
Meetings & Communication
  • Coordinate and schedule project meetings, including subcontractor kickoff meetings, coordination meetings, OAC meetings, and project review sessions.
  • Prepare and distribute meeting agendas, minutes, and follow-up action items.
  • Organize and, where required, chair project meetings to ensure accountability and clear communication among stakeholders.
  • Support effective communication between project teams, subcontractors, consultants, and clients.
QualificationsEducation & Experience
  • Post-secondary degree or diploma in Construction Management, Engineering, or a related discipline.
  • Previous experience in a coordination or project support role within a mid-to-large general contracting environment is considered an asset.
  • Familiarity with construction project workflows, documentation, and contract administration processes.
Technical Skills
  • Proficiency with Procore or similar construction management software.
  • Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to interpret construction drawings, specifications, and contracts.
  • Strong understanding of RFIs, RFQs, change orders, and construction documentation processes.
