Job description

This position is evenly split between the Evaluation & Continuous Improvement program and the Communications program of the Georgia Clinical & Translational Science Alliance (Georgia CTSA). The Georgia CTSA begins its nineteenth year thanks to a five year $74M continuing grant from the NIH to improve human health by transforming the research and training environment to enhance the efficiency and quality of clinical and translational research. To ensure Georgia CTSA’s emphasis on improving treatments reaches the communities and populations at highest risk for poor health outcomes, Georgia CTSA has established its central theme aimed at addressing health impact statewide. The Georgia CTSA is one of 65 medical research institutions located throughout the nation.

The Program Coordinator duties are organizing, coordinating, and planning operational facets of a program and its related activities which include, but are not limited to the following: establishing long-term operational objectives, researching factors that may impact the success of the program, and working with individuals or groups to research and document program requirements in order to provide appropriate input into the development of strategic plans.

KEY RESPONSIBILITIES:

  • Develops work plans to accomplish program goals and objectives and monitors progress toward their achievement.
  • Conducts research and gathers information to develop various publications.
  • Develops promotional materials which may include content for reports, briefings, newsletters, grants or other written information related to the program.
  • Assists in developing and coordinating program-related conferences, conventions, or meetings.
  • Monitors expenditures and may participate in the budget planning process and prepare financial reports.
  • May assist in identifying funding resources and developing fund-raising strategies and initiatives.
  • Prepares operational and statistical reports.
  • Conducts training, represents the program at meetings and conferences, and networks with affiliated groups. May supervise assigned project staff, interns and/or volunteers.
  • Performs related responsibilities as required.

ADDITIONAL RESPONSIBILITIES:

  • Help execute and fulfill Georgia CTSA Strategic Communications Plan tactics.

  • Collateral material (print, signage, exhibit, etc.) planning, coordination, and creation with vendors and programs.

  • Meeting/event/exhibit support.

  • Organization chart maintenance.

  • Online service request customer/program follow up.

  • Web calendar maintenance.

  • Assist with small graphic design projects.

  • Maintain photo archive.

  • Use Cascade (website content management system) to maintain website.

  • Draft success stories for website featuring Georgia CTSA investigators, scholars/trainees, partner institutions, science advances, etc.

  • Build and distribute weekly e-newsletter.

  • Social media account maintenance.

  • Maintain four internal and external promotional listservs.

  • Sponsored account maintenance.

  • Data entry, database management, and report preparation.
  • Assist in design and evaluation of program implementation, activities, and impact.
  • Assist in designing surveys, collecting, and analyzing survey data.
  • Scientific abstract and manuscript preparation, presentation of scientific results.
  • Liaise with internal and external stakeholders.

MINIMUM QUALIFICATIONS:

  • Bachelor's degree in a field related to the program.
  • Two years of related experience, or an equivalent combination of education, training and experience.

PREFERRED QUALIFICATIONS:

  • Excellent communications skills, both written and oral.
  • Proactive, accountable, and reliable
  • Knowledge of computer-based programs such as Microsoft Word, PowerPoint, Excel, Teams, listservs, Google Calendar, a website content management system, and/or a database is preferred
  • One (1) writing sample is required. 

NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs.  Schedule is based on agreed upon guidelines of department.
