About the Role

We're looking for a highly organized, detail-oriented Administrative Assistant to support our COO across multiple functions operations, finance, marketing, and HR. This is a part-time, remote role ideal for someone who thrives on structure, takes ownership of follow-through, and can be trusted to keep projects moving even when priorities shift.

You'll be the connective tissue that keeps things from falling through the cracks: tracking deadlines, following up with stakeholders, managing timelines, and making sure commitments made in meetings actually get done.

What You'll Do
  • Set up, track, and manage timelines and action items across operations, finance, marketing, and HR projects
  • Follow up with team members and vendors  proactively chasing down outstanding items and status updates
  • Support geographic expansion efforts (research, tracking requirements, coordinating next steps across new markets)
  • Support payer contracting and credentialing processes tracking applications, following up on outstanding items, and keeping things moving
  • Conduct research to support decision-making across operations, expansion, and other projects
  • Perform light data analysis to support reporting and decision-making
  • Maintain organized systems (files, trackers, project boards) so information is easy to find
  • Identify gaps in existing processes and build or improve systems to close them
  • Proactively flag  what's falling behind, what's coming up, and what needs attention before it becomes urgent
  • Handle ad hoc administrative and research tasks as needed
What We're Looking For
  • 2+ years of experience in an administrative, executive assistant, or operations support role
  • Exceptionally detail-oriented and organized, with a track record of managing multiple workstreams at once
  • Strong written and verbal communicator, comfortable interfacing with a variety of stakeholders
  • Excellent follow-through you close loops without being reminded
  • Comfortable setting up systems/timelines and holding others accountable to them, including people more senior than you
  • Process-minded you naturally look for ways to make things more efficient, repeatable, and less reliant on tribal knowledge
  • Takes initiative and ownership you spot problems and work toward solutions rather than waiting to be told what to do
  • Self-starter who works well independently in a remote environment
  • Tech-savvy and quick to pick up new tools (e.g., Google Workspace, project management tools like Trello/Monday, Slack)
  • Trustworthy with sensitive and confidential information
  • Prior experience supporting a founder, executive, or small/growing company is a plus
