Location: Greater Toronto Area preferred; open to candidates elsewhere in Ontario

Hours: Vary

Reports To: Accounts Manager

Target Start: Middle of August

Pay range: $23-$26/hour

Position Overview

We are looking for an organized Service Delivery Coordinator to join our Operations team. In this role, you are communicating with our Note-takers and Captioners to schedule and plan each semester to ensure our students are receiving reliable and consistent service.

Your responsibility is to match the right service provider with the right class, subject matter expertise, and last-minute cancellations with ease.
Key Responsibilities

  • Daily Calendar Management: Coordinate and assign note-taking and captioning shifts for live lectures, corporate webinars, and events from September to May.
  • Booking Creation & Assignment: Efficiently log upcoming captioning sessions into our proprietary booking system and assign them to the appropriate Captioners and Note takers.
  • Capacity Planning: Communicate with recruitment to recruit or activate backup service providers to ensure 100% coverage.
  • Real-Time Problem Solving: Handle last-minute call-outs, technical difficulties, or schedule shifts with urgency and composure.
  • Quality & Matchmaking: Ensure specialized subjects (e.g., advanced medical lectures or technical engineering seminars) are paired with Note-takers and/or Captioners who have the appropriate background.
  • Contractor Relations: Act as the primary point of contact for our team regarding availability, scheduling policies, and updates.

Requirements

What We Are Looking For
  • Organization: Spreadsheets and calendars are your area of expertise.
  • Communicator: You possess excellent written communication skills and can deliver schedule changes to contractors firmly yet empathetically.
  • Detail oriented: You possess excellent written communication skills and can deliver real-time schedule adjustments or policy updates to freelancers firmly, clearly, and empathetically.
  • Thrives Under Pressure: You remain calm and logical when a live schedule shifts unexpectedly due to last-minute cancellations or urgent technical issues.
Experience & Qualifications
  • Experience in scheduling, dispatching, workforce management, or administrative coordination.
  • Post-secondary education in Human Resources, Business Administration, or a related field.
  • Proven tech-fluency and the ability to quickly learn proprietary software and booking platforms.
  • Experience managing or coordinating a remote, freelance, or contract-based workforce is highly preferred
