We offer an annual salary of $68,000 with working from home, $100 monthly teleworker and phone stipend, occasional travel to company meetings is required.ย  We offer a robust benefits package including 15 days of vacation, 7 paid holidays, and 5 sick days annually and group healthcare benefits, which begin day one and include health/dental/vision plans (multiple plans to choose from), employer-paid life insurance, tuition reimbursement, 401(k) with a company match and more.ย ย 

This is a full-time remote, work-from-home position, primarily working during standard business hours, 8a - 5p, handling confidential information. Thus, work must be performed in a private and quiet (with a door) setting requiring reliable internet and phone connectivity.ย  Ability to communicate via virtual/online meetings daily with a camera on as well as being responsive in a timely manner during work hours via email, MS Teams and phone. Job Description:

HR Operations & Employee Support:

  • Manage the HR inbox, phone messages and respond promptly same day/24 hours to inquiries from employees, contractors, people leaders and vendor partners.
  • Support and guide employees and contractors with company policies, procedures and workflows and assist with troubleshooting HRIS/payroll system.ย 
  • Support and guide leaders with HR related policies and workflows, advise on compliance with employment policies and regulatory requirements, assist with non-complex performance management and terminations of employment questions and recordkeeping.

Onboarding and Offboarding:

  • Conduct new employee onboarding processes for about 50 employees or contracts per month per standard operating procedure andย  maintain accurate and up to date onboarding and offboarding records in the applicable systems (Hubspot, HRIS).
  • Conduct offboarding and terminations processes per the standard operating procedures, including processing resignations, coordinating final pay, and ensuring timely deactivation of access to company resources.

Process and Facilitate Completion of Employment Status Changes:ย 

  • Facilitate and coordinate employment changes process with staff, managers, HRIS and Payroll team.
  • Support compensation-related processes such as various stipends, teleworker allowances, and etc.

Leave of Absence Administration:

  • In collaboration with vendors, administer company leave of absence and paid time off (PTO) programs, leave of absence (e.g. calculating and communicating available PTO balances and applying leave time to employee timesheets).
  • In collaboration with vendor benefits center, support annual open enrollment, including employee communication of materials and scheduling of open enrollment meetings; assist employees with benefit enrollment and troubleshooting benefits inquiries.

HRIS, Systems & Data Management:

  • Set up and maintain employee records in HRIS systems (e.g. accrual groups and PTO, sick, and floating-holiday accrual configurations within the HRIS).
  • Monitor and maintain HRIS and related platforms (e.g., Insperity, ADP) for onboarding, payroll, timekeeping, training, and document retention.
  • Provide routine reports and analytics to leaders, as needed (e.g turnover rates, headcount/census, training compliance and etc.)

Training Compliance & Policy Administration:

  • Maintain compliance with federal, state, and local employment laws and regulations and ensure policies and procedures are applied consistently.
  • Escalate issues that present legal, compliance, or employee-relations risk to HR leaders.
  • Track and report monthly on the mandatory Federal, State and Company training compliance, including HIPAA, Sexual Harassment Prevention etc.

Job Requirement:ย 

1.ย ย ย  Bachelorโ€™s degree in human resources related fields

2.ย ย ย  PHR or SHRM-CP certification

3.ย ย ย  Minimum of 4 years of experience in healthcare organizations operating in multiple states.ย 

4.ย ย ย  Fluency in Spanish language (written and spoken) is preferred

5.ย ย ย  Proficiency in MS Suite: Word, PPT with advanced proficiency in Excel (V-Look Up, Pivots, etc.)

6.ย ย ย  Strong initiative, self-discipline, attention to detail, and problem-solving skills

Physical Requirements:

  1. This is a full-time remote, work-from-home position, primarily working during standard business hours handling confidential information. Thus, work must be performed in a private and quiet (with a door) setting requiring reliable internet and phone connectivity.
  2. Ability to communicate via virtual/online meetings daily with a camera on as well as being responsive in a timely manner during work hours via email, MS Teams and phone.ย 
  3. Ability to occasionally travel for training, orientations, meetings, on-site visits.
  4. Ability to sit, stand, and walk for extended periods.ย 
  5. Ability to lift and move up to 25 pounds.
