Job description

To be considered for the role, you must permanently reside in one of the following states: Florida, Michigan, North Carolina, or Virginia.
The Business Associate Administrator consults, advises, leads and assists practice management in providing leadership and direction by performing a combination of the following: financial and productivity reporting, clinical effort and compensation alignment, budget development and monitoring, financial funds flow coordination and optimization, human resources management. Fulfills service level assistance to assigned MCVP clinical departments to facilitate health system wide alignment. Ensures compliance with VCU and VCUHS policies and procedures.
The Business Associate Administrator works closely and in collaboration with assigned MCVP Clinical Departments, physicians, advanced practice providers, staff, and VCU and VCUHS management and administrative personnel to resolve problems, workflow issues, customer service issues, human resource issues and to implement new initiatives, policies, programs, etc.
The Business Associate Administrator maintains current knowledge of all state and federal laws and regulations and University and Health System policies and procedures. The position ensures that clinical operations are sound and efficient, educational programs meet regulating body requirements, and all grants and contract awards are implemented. Reporting requirements are conducted in accordance with established University and sponsoring agencies requirements.
Reporting to the Director, the Business Associate Administrator provides administrative support and leadership to a single or multiple MCVP Departments.

Essential Job Statements

Strategy & Data Management and Analytics: Designs and leads the testing for the development and maintenance of systems and processes that support overall MCVP Administration, provider compensation plans and policies. Oversees Administrators' compliance to resolve data integrity issues for all MCVP dashboards and provider reports. Develops and maintains database, data integrity, security, reports, compensation plan notifications and compliance records. Performs quality assurance of database and audits outcomes to ensure a high degree of accuracy.

Finance/Revenue Cycle Management: Maintains financial controls for all sources of funds to ensure compliance with approved MCVP and University policies. Oversees financial payment requests and financial funds flow for assigned MCVP departments. Reviews, monitors and approves assigned departmental pay practices. Designs monthly compensation and productivity reports. Organizes alignment between VCU and VCUHS HCM platforms and ensures accuracy of all payments rendered to assign clinical providers. Reconciles all pay discrepancies and resolves/explains variances. Assists with the development and maintenance of departmental expense budget using the requisite financial accounting systems. Performs statistical analysis for forecasting. Assists assigned departmental leadership with KPI tracking and optimization as it relates to provider productivity.

Operations: Works with assigned MCVP departmental leadership to align the MCVP business practices. Facilitates alignment across the health system to optimize the clinical practice needs, provider productivity and provider compensation. Provides strategic guidance in the design and implementation of competitive compensation programs, policies and practices. Participates in and assists with the compensation plan review and approval process. Collaborates with health system leaders (i.e. SOM, GME, hospital) to facilitate the appropriate reporting and documentation of the provider's effort. Responsible for communicating and developing plans to increase provider productivity congruent with practice plan standards. Provides monthly reports to assigned MCVP department(s).

Productivity and Compensation Plan Oversight: Provides strategic guidance in the design and implementation of competitive compensation programs, policies and practices. Provides direction to Department Administrators, Providers, Department Chairs and Division Chiefs. Facilitates alignment of key stakeholders around approved plan guidelines. Leads the productivity analysis and accountability for assigned department(s). Provides expertise on pay models to achieve alignment between practice revenues, quality, and expenses, as well as market competitiveness. Participates in and assists with the compensation plan review and approval process. Leads in conducting compensation reviews as directed by MCVP and department leaders.

Human Resources Management: Manages the MCVP clinical recruitment program for MCVP providers including building market analysis, provider productivity, designing contracts and offer letters. Manages the provider's employment lifecycle to include request to recruit, request to hire, on-boarding in conjunction with VCUHS HR, provider payment alignment, annual contract compliance, and FTE adjustments between VCU and VCUHS. Serves as the liaison and contact for clinical related matters for assigned MCVP Departments. Builds alignment between legal and compliance services on clinical provider employment and compensation matters. Works with the Office of the General Counsel and VCUHS HR on immigration matters or concerns as needed. Communicates with assigned departments to ensure providers remain up to date on current MCVP, SOM, and health system policies related to clinical related matters for assigned MCVP departments. Prepares and handles all related MCVP departmental clinical or HR documents in conjunction with VCU Human Resources. Ensures alignment and integration of data of HR platforms between VCUHS, MCVP, VCU and SOM. Provides subject matter expertise to provider scheduling platforms and analytics.

Regulatory Compliance: Proactively works with legal and compliance departments. Responsible and accountable for supporting efforts to remain in compliance with all federal, state, and regulatory requirements by complying with federal, state, and regulatory agency requirements. Takes prompt and effective corrective action if infractions are identified.

Leadership/Relationship Development: Provides strong team oversight and promotes and manages change. Responsible for ensuring MCVP priorities are aligned with the strategy of the organization for each assigned department. Ensures stakeholder feedback is incorporated into operational plans. Represents the department(s) in various committees and task forces as needed. Collaborates with assigned departmental leadership to ensure open communication and perceived urgency of suggested operational improvements. Responsible for department engagement in collaboration with department administrator and associate administrator(s).

Minimum Qualifications

Demonstrates accuracy and attention to detail in documentation and reporting. Able to summarize routine information in clear, understandable terms. Represents the department appropriately in basic internal interactions. Supports communication efforts within the division as directed. Works under close supervision with clearly defined tasks.
