Job description

CGM is hiring a Business Operations Coordinator to execute the day-to-day Finance, HR, and Operations processes that keep the agency running. This is a hands-on execution role: you will run documented systems accurately and reliably. Many of CGM's operational processes are actively being formalized into SOPs. Expect to work from a mix of complete and in-progress documentation, particularly in the first few months, and to flag gaps to your manager or resolve them directly.

What You'll Own

Cash, AP & AR

  • Daily cash and banking verification; bill pay execution
  • Accounts receivable tracking and escalation, per defined process
  • Vendor and contractor invoice review, QA, and payment execution
  • Enterprise client invoicing through vendor procurement portals
  • AR credit insurance management: premium payment, portal access, and claims filing
  • Monthly tech/software expense and seat review

Payroll & Benefits

  • Payroll execution and 401(k) contribution administration (TriNet + Vanguard)
  • Quarterly commission/bonus data preparation and reimbursement submission
  • Annual 1099 filing and annual tax filing data support

HR Administration & Hiring

  • HR administration: onboarding/offboarding execution, benefits support, leave administration
  • Hiring pipeline coordination (scheduling, screening interviews, communication)
  • Contractor compliance execution: onboarding paperwork, documentation, and recordkeeping
  • Employee and Contractor Handbook updates

Reporting, Vendor Management & Company Operations

  • Monthly Team Utilization, Client Profitability, and Employee Funding reporting
  • Weekly Harvest time-tracking review; escalate accounts trending over scoped hours
  • Vendor and partner NDA tracking, setup, and new vendor onboarding
  • File management for the company (shared Google Drives)
  • Monthly close coordination with the controller & bookkeeper

Requirements

  • 3+ years executing payroll, HR administration, or finance operations
  • Direct experience with an HRIS platform (TriNet or similar), QuickBooks Online, and an AP platform (Bill.com or similar)
  • Experience with 401(k) contribution administration or comparable benefits administration is a strong plus
  • Track record of following documented processes, with the judgment to flag exceptions and recommend solutions
  • Ability to adapt in a highly-dynamic and fast paced environment - prioritizing projects, and defining milestones
  • Experience coordinating with external vendors, contractors, and service providers
  • Comfort handling sensitive financial and employee data
  • An excellent communicator - you enjoy working with internal partners to solve problems with strong written, follow up, and verbal communication skills.
