What is a remote bookkeeper?

Remote bookkeepers are financial professionals who manage and record a business’s financial transactions from a location outside of the client’s office, often working from home or another remote setting. They use online accounting software and digital communication tools to track income, expenses, payroll, and reconcile accounts. This allows businesses to maintain accurate financial records without needing an in-house bookkeeper. Remote bookkeeping is popular with small businesses seeking flexibility and cost savings. The work is typically organized, detail-oriented, and requires strong communication skills.

What does a remote bookkeeper do?

Remote bookkeepers are responsible for some or all of the financial accounts for their employer or client. They may work independently or within a department to manage all accounts payable and accounts receivable within the organization, depending on the size and needs of the company. Unlike bookkeepers who work in the office, remote bookkeepers work from home or another location of their choice with a Wi-Fi connection. They may be on the staff at the company, or they may be self-employed. Their job duties include recording all transactions, posting debits and credits into a general ledger, and producing financial statements and other reports for the management of the company. A remote bookkeeper also reconciles reports and checks files for accuracy.

What are the key skills and qualifications needed to thrive as a remote bookkeeper, and why are they important?

To thrive as a Remote Bookkeeper, you need a solid understanding of accounting principles, attention to detail, and proficiency in bookkeeping, often supported by a degree in accounting or a bookkeeping certification. Familiarity with accounting software such as QuickBooks, Xero, and cloud-based document management systems is typically required. Strong organizational skills, independence, and effective communication are essential soft skills for managing tasks remotely and collaborating with clients. These abilities ensure accurate financial recordkeeping, compliance, and reliable support for clients or businesses in a virtual environment.

What are some common challenges faced by remote bookkeepers, and how can they be addressed?

Remote bookkeepers often encounter challenges such as maintaining clear communication with clients, managing time effectively across different projects, and staying updated with evolving accounting software. To address these, it's crucial to establish regular check-ins with clients, use project management tools for organization, and continuously improve technical skills through online training. Additionally, setting up a secure and distraction-free workspace helps ensure accuracy and confidentiality in financial recordkeeping.

Job description

About This Role

We are looking for an Accounting Operations Manager to help strengthen the way our firm runs day-to-day.

This is not a director-level role, but it is an important operational role for someone who enjoys structure, documentation, follow-through, and process improvement. You will help turn ideas, verbal instructions, and existing workflows into clear systems the team can consistently use.

You will work closely with firm leadership, accounting managers, and team members to support internal operations, improve accountability, document procedures, and keep key recurring workflows moving.

This role is ideal for someone who has worked inside an accounting, bookkeeping, tax, or professional services firm and understands the rhythm of client service work, month-end deadlines, recurring tasks, and the importance of clear communication in a remote environment.

Compensation:

$70,000 – $90,000

Responsibilities:What You’ll Do

In this role, you will help manage and improve the internal systems that keep the firm running smoothly.

Responsibilities include:

  • Documenting SOPs, workflows, checklists, and internal processes

  • Helping maintain and improve the firm’s internal playbook

  • Supporting the monthly file review and client financial review process

  • Tracking follow-up items from internal and client meetings

  • Helping ensure recurring client work stays on schedule

  • Identifying gaps in current processes and helping build practical solutions

  • Supporting accountability across the team so tasks do not bottleneck with one person

  • Assisting with implementation and training for internal tools, automations, and AI-supported workflows

  • Helping organize internal projects and keep priorities moving forward

  • Communicating clearly and consistently in a remote, Slack-and-Zoom-first environment

  • Partnering with leadership to turn firm goals into repeatable processes

Qualifications:What You’ll Do

  • Helping maintain and improve the firm’s internal playbook

  • Supporting the monthly file review and client financial review process

  • Tracking follow-up items from internal and client meetings

  • Helping organize internal projects and keep priorities moving forward

  • Communicating clearly and consistently in a remote, Slack-and-Zoom-first environment

  • Partnering with leadership to turn firm goals into repeatable processes

What Success Looks Like

In the first 90 days, you will learn our firm’s workflows, tools, team structure, and recurring client service cycles. You will begin taking ownership of key internal processes, help document procedures, and support follow-through on priority operational projects.

By the end of year one:

  • The firm has stronger, clearer internal documentation

  • SOPs and workflows are actively used and maintained

  • Client financial review meetings and follow-up items are more consistent

  • Team members have clearer ownership of recurring responsibilities

  • Internal projects are better organized and tracked

  • Processes that previously lived in someone’s head are written down and easier to follow

  • Firm leadership has more visibility into what is moving, what is stuck, and what needs attention

You’re a Great Fit If

You are organized, proactive, and comfortable creating structure where it does not yet exist.

You have worked in an accounting, bookkeeping, tax, consulting, or other professional services environment and understand that client service work has deadlines, recurring cycles, and a lot of moving parts.

You enjoy documenting processes, improving systems, and helping teams work more consistently. You do not need everything handed to you perfectly packaged, but you are comfortable asking good questions, clarifying expectations, and turning rough ideas into usable workflows.

You communicate clearly and directly. We value honest, respectful communication and believe that clarity helps everyone do better work.

We’re Specifically Looking for Someone Who
  • Can build SOPs and process documentation from verbal or informal instruction

  • Understands the pace and recurring nature of accounting or professional services work

  • Is comfortable managing multiple priorities without letting details fall through the cracks

  • Communicates well in writing

  • Enjoys improving systems, not just maintaining them

  • Can help people adopt new processes with patience and consistency

  • Is interested in AI tools, automation, and better ways of working

  • Works well in a fully remote environment

  • Is comfortable supporting a small, collaborative team
