SENIOR CONTRACTS SPECIALIST
 
Location; Remote, US
 
JOB DESCRIPTION
 
The Senior Contract Specialist provides essential support for the contract execution process, working closely with the Sourcing Partner and relationship management to ensure timely and accurate processing of contract documents and associated tracking.
 
KEY RESPONSIBILITIES
 
Contract Support and Execution

  • Supports the preparation and routing of clinical contracts and change orders, including gathering required inputs and documentation.
  • Assists with the review of draft Statements of Work (SOWs), Change Orders, and associated templates to ensure consistency and completeness.
  • Coordinates the internal review and signature process across legal, finance, and clinical teams.
  • Tracks contract progress and maintains tools for contract status and change order status across clinical projects. escalate delays or missing information to appropriate stakeholders.

Cross-Functional Collaboration

  • Works closely with sourcing partner, partnership manager, clinical teams, legal, finance, and vendor management to support timely contract execution.
  • Schedules and documents relevant meetings, gathers required inputs, and distributes updates regarding contract status.

Process Improvement and Systems Support

  • Assists with process improvement initiatives by gathering information, updating templates, and supporting implementation of new procedures related to contract workflows.
  • Participates in clean-up and organization of contract documentation, ensuring proper archiving of executed agreements, change orders, and financial documents.
  • Supports data entry and maintenance of contract tracking systems and document repositories to ensure accuracy and accessibility.
  • Identifies inconsistencies or outdated information in shared systems and coordinates with stakeholders to resolve them.
  • Helps document standard operating procedures (SOPs), workflows, and training guides to support team knowledge and consistent execution.

 
QUALIFICATIONS

  • BS/BA preferred; Associate degree considered with experience.
  • 3+ years in biotech / pharma industry.
  • Excellent communication, interpersonal, and presentation skills for engaging with internal and external stakeholders.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of contract structure and financial documents.
  • Proficiency in Microsoft Excel and document management tools (e.g., SharePoint, DocuSign, contract lifecycle management systems).
  • Ability to handle multiple tasks in a fast-paced environment.
