Description & Requirements
The Organ Procurement and Transplantation Network (OPTN), overseen by the Health Resources and Services Administration (HRSA), is responsible for developing and maintaining national policies that support equitable and evidence-based organ transplantation in the United States. The Committee Coordinator supports the OPTN's collaborative policymaking process by coordinating committee activities, engaging stakeholders, and ensuring the efficient execution of committee operations and administrative responsibilities.

We're seeking a highly organized and detail-oriented professional to provide administrative and contract administration assistance to the team. You'll work on a variety of contracts and will work closely with cross-functional stakeholders to support agreements, compliance and documentation.
Essential Duties and Responsibilities:
- Provide support and assistance to contracts department staff by providing administrative support services as required, including proofreading, copying, filing, mail, facsimile transmittal, answering and disseminating incoming calls and messages.
- Assist in maintenance of internal database of contract files and contract action requests.
- Prioritize and respond to requests for information from contracts department, other internal departments and external clients.
- Review outgoing materials and correspondence for internal consistency and conformance with company procedures.
- Prepare contract documents for signature.
- Collect information from files or staff for routine inquires on contract status and refer non-routine requests to appropriate personnel.
- Assist in maintenance of internal database of contract files and contract action requests.
- Work on subcontracts, NDAs and teaming agreements.
- Prioritize and respond to requests for information from contracts department, other internal departments and external clients.
- Prepare contract documents for signature.
- Prepare reports, presentations, and materials, including those of a complex or confidential nature
- Coordinate schedules and logistics, including meetings, conference rooms, A/V equipment, and travel arrangements
- Manage incoming and outgoing communications, responding to correspondence and maintaining accurate records.
- Support day-to-day departmental operations and ensure adherence to organizational policies and procedures
- Assist with and contribute to special projects and initiatives as directed by leadership
- Serve as a point of contact for visitors and calls, providing reception and administrative support as needed-May provide guidance, training, or mentoring to junior staff
Minimum Requirements
- High School diploma or equivalent with 4+ years of experience, or Associate degree with 2+ years experience.
- Experience supporting contracts.
- Strong verbal and written communication skills.
- Ability to build collaborative relationships.
- Ability to multi-task and prioritize.
