TRS Healthcare is seeking an experienced Executive Assistant to provide high-level support to our CEO, CFO, CRO and CGO.

This is a remote position; however, the individual must reside in Northwest Arkansas and be available to attend and support in-person meetings, events and other Executive Team activities as needed.

We’re looking for someone who thrives in a fast-paced environment, anticipates needs before they arise and can bring organization to a lot of moving pieces. Our Executive Team travels and meets in person frequently, so this role will be instrumental in coordinating travel, calendars, meetings, events and the details that keep our leaders organized and prepared.

This is more than calendar management. The Executive Assistant will serve as a trusted partner to our Executive Team and must be proactive, resourceful, highly organized and comfortable handling confidential and sensitive information.

What You’ll Do
  • Provide high-level administrative support to the CEO, CFO, CRO and CGO
  • Manage complex calendars, scheduling priorities and meeting coordination across multiple executives
  • Coordinate frequent executive travel, including flights, hotels, transportation and detailed itineraries
  • Plan and coordinate Executive Team meetings, leadership offsites, company events and other in-person gatherings
  • Coordinate venues, catering, accommodations and other event logistics
  • Prepare agendas, meeting materials, presentations and other supporting documents
  • Attend key meetings, take detailed notes, document decisions and action items, and coordinate follow-up
  • Manage last-minute travel and scheduling changes and proactively troubleshoot issues
  • Organize and maintain Executive Team documents, meeting materials and other important information
  • Coordinate expense reports and other executive administrative needs
  • Communicate professionally with internal leaders, employees, vendors and external partners on behalf of executives
  • Anticipate the needs of the Executive Team and proactively identify solutions
  • Support special projects and other Executive Team priorities as needed
What We’re Looking For
  • 5+ years of Executive Assistant or senior-level administrative experience
  • Experience supporting C-suite or senior executive leaders; experience supporting multiple executives strongly preferred
  • Significant experience coordinating executive travel and complex itineraries
  • Hands-on experience planning corporate events, leadership meetings, offsites or conferences
  • Exceptional organizational skills, attention to detail and follow-through
  • Strong calendar and meeting-management skills
  • Excellent written and verbal communication skills
  • Ability to capture meaningful meeting notes, decisions and action items
  • Strong judgment, discretion and ability to maintain confidentiality
  • Ability to anticipate needs, solve problems independently and take ownership
  • Ability to successfully manage competing priorities and pivot quickly when plans change
  • Proficiency with Microsoft Outlook, Teams, Word, Excel and PowerPoint
  • Ability to travel as needed
  • Must reside in Northwest Arkansas and be available for in-person meetings, events and Executive Team activities as needed

Location & Work Environment

This is a remote position; however, candidates must reside in Northwest Arkansas. Because this role directly supports our Executive Team, regular in-person availability is an important part of the position. The Executive Assistant will support local meetings, leadership events, offsites and other Executive Team activities as needed.

The position will also require travel based on Executive Team and company needs.
