The Role: Keep Things Moving

This is a hands-on coordination role for someone who is organized, proactive, and comfortable managing many small but important moving pieces.


You will support the CEO across marketing execution, operations, finance administration, HR coordination, and event logistics. The work is varied, practical, and execution-focused.


We are not looking for a strategist, manager, or passive task-taker. We are looking for someone who can clarify what needs to happen, follow up consistently, and keep work moving without needing to be reminded.


Your Responsibilities

1. Marketing Execution & Coordination (60%)

  • Content Deployment: Publish content across our website, social media, and newsletters. You ensure the calendar stays on track.
  • Production Traffic Control: Coordinate the workflow for our podcast and video production by managing external collaborators (editors, writers, and our offshore team).
  • Event & Travel Coordination: Handle the hands-on coordination for events, booking travel, organizing booth materials, and managing shipping logistics for trade shows.
  • Tool Support: Keep our HubSpot portal clean and operational (sending newsletters, updating lead lists, and tracking basic metrics).

2. Operations & Administration (40%)

  • Financial Flow Support: Assist with the monthly billing cycle and follow up on unpaid invoices. You ensure the data is ready and reminders are sent.
  • Process Tracking: Keep the CEO's internal commitments organized by updating weekly financial trackers and flagging upcoming deadlines.
  • HR & Team Coordination: Support payroll preparation, process expense reimbursements, and handle the logistics for team-building events.
  • General Coordination Support: Handle recurring and ad hoc administrative tasks that support smooth day-to-day operations.


Is this you?

  • Proactive Coordinator: You treat every task as an outcome to deliver, not just a box to check. You follow up consistently and close the loop.
  • Resourceful: You are comfortable with ambiguity. If you don't have the answer, you look for answers before escalating.
  • Detail-Oriented: You catch the typos, the missing attachments, and the scheduling conflicts before they happen.
  • Comfortable Managing Up: You can remind stakeholders, including the CEO, when approvals, decisions, or follow-ups are needed.
  • Tech-Fluent: Quick to learn new tools (Google Workspace, Jira, HubSpot, Slack). Knowledge of QuickBooks is a plus.
  • Bilingual: Excellent written and spoken French and English.


This role is NOT:

  • A strategy or management role.
  • A creative design or copywriting role.
  • A passive "wait-for-instructions" assistant role.

Vos responsabilites

1. Execution et coordination marketing (60 %)

  • Deploiement de contenu : Publier du contenu sur notre site Web, nos reseaux sociaux et nos infolettres. Vous veillez au respect du calendrier editorial.
  • Controle du flux de production : Coordonner le flux de travail pour nos balados et nos productions video en gerant les collaborateurs externes (monteurs, redacteurs et notre equipe offshore).
  • Coordination d'evenements et de voyages : Gerer la logistique concrete des evenements, la reservation des voyages, l'organisation du materiel de kiosque et la logistique d'expedition pour les salons professionnels.
  • Soutien technique : Maintenir notre portail HubSpot propre et operationnel (envoi d'infolettres, mise a jour des listes de prospects et suivi des metriques de base).

2. Operations et administration (40 %)

  • Soutien au flux financier : Soutenir le cycle de facturation mensuel et assurer le suivi des factures impayees. Vous vous assurez que les donnees sont pretes et que les rappels sont envoyes.
  • Suivi des processus : Garder les engagements internes du PDG organises en mettant a jour les suivis financiers hebdomadaires et en signalant les echeances a venir.
  • Coordination RH et equipe : Soutenir la preparation de la paie, traiter les remboursements de depenses et gerer la logistique des activites team building.
  • Soutien administratif general : Gerer les taches administratives recurrentes et ponctuelles qui favorisent le bon deroulement des operations quotidiennes.
