Facility Projects Coordinator - JLLWhat this job involves:

The Facility Projects Coordinator plays a vital role in managing project coordination, vendor relationships, and client services for facility operations. In this position, you'll be responsible for ensuring projects are delivered on time, within budget, and in full compliance with contract requirements and performance standards. You'll work cross-functionally with maintenance, environmental, instrumentation and controls, and other integrated facility management teams to support both short-term and long-term client initiatives.

You'll serve as a key point of contact between clients, vendors, and internal teams, coordinating complex projects from design through completion while maintaining the highest standards of safety, quality, and service delivery. This is an entry-level position with significant growth opportunity within JLL's integrated facility management practice.

What your day-to-day will look like:
  • Review project requirements with clients to establish clear deliverables, timelines, and performance expectations while identifying parts, materials, and contractor needs
  • Coordinate JLL labor and qualified contractors throughout the construction phase, maintaining project schedules and updating clients on any deviations from established due dates
  • Manage vendor relationships across maintenance, janitorial, mechanical, electrical, plumbing, carpentry, critical systems, HVAC, and other portfolio services to ensure compliance with policies, procedures, and contract scope
  • Ensure all safety documentation is maintained, updated, and filed in accordance with JLL HSE guidelines and made available for audit upon request
  • Review contractor as-builts for completeness and accuracy, rejecting documents with errors and obtaining corrected copies to maintain project integrity
  • Manage vendor purchase orders and invoices while supporting the development and approval of annual capital plans for each building in close collaboration with clients and team members
  • Use CMMS systems (Maximo) to track work orders, manage inventory, support parts ordering and receiving for the maintenance department, and maintain accurate project documentation.
Required Qualifications:
  • High school diploma or equivalent required
  • Minimum 1 - 2 years of experience in facilities management, construction coordination, or project management
  • Excellent communication and negotiation skills with the ability to manage difficult situations and meet tight deadlines
  • Proven ability to manage multiple contractors and projects simultaneously while effectively prioritizing work schedule and managing own time
  • Strong analytical, organizational, and presentation skills
  • Proficient in Microsoft Office products and other basic computer programs
  • Competency in the use of project management software and CMMS systems
  • Ability to frequently stand, walk, sit, use hands to handle materials, reach, climb, balance, stoop, kneel, crouch, crawl, and occasionally lift and/or move up to 50 pounds.
Preferred Qualifications:
  • Associate's or Bachelor's degree in Facilities Management, Property Management, Business, or related field
  • Experience working in integrated facility management or corporate real estate environments
  • Familiarity with environmental compliance requirements, chemical handling protocols, and recycling programs
  • Knowledge of construction safety standards, HSE guidelines, and audit documentation requirements
  • Experience managing vendor compliance, insurance requirements, and contract performance metrics
  • Proficiency in advanced project management platforms and information technology tools beyond basic software applications.

Work Shift:

Monday - Friday, flexible schedule (7:00 AM - 3:30 PM or 8:00 AM - 4:30 PM)

Salary/Comp:

$60,000 - $70,000 annually

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
