Job description

Position Summary:

The Talent Globalization Coordinator- Travel/Relocation Coordinator position helps deliver a corporate service to a multi-national population of international assignees and domestic employees. Guidelines for processes are outlined by our corporate client and must be adhered to. This position requires excellent client-facing customer-service skills for interaction with clients, vendors, and the relocatee, professional communication skills; expense auditing, and the ability to manage numerous files at once. Will require familiarity with several internal platforms- training will be provided.

Key Responsibilities (Travel Management)

  • Coordinate domestic and international travel arrangements for employees, assignees, and business travelers in accordance with client travel policies and contract requirements.
  • Serve as the primary point of contact for travel-related inquiries and coordinate with travelers, travel vendors, airlines, hotels, and transportation providers to ensure seamless travel execution.
  • Review travel requests and itineraries for policy compliance, budget alignment, and required approvals.
  • Monitor travel schedules and provide support for itinerary changes, cancellations, travel disruptions, and urgent travel requirements.
  • Maintain accurate travel records, authorizations, and supporting documentation within company and client systems.
  • Audit travel-related expenses and receipts to ensure compliance with company policies, client requirements, and contractual obligations.
  • Coordinate travel logistics for onboarding, training events, conferences, site visits, and contract-related activities.
  • Track travel expenditures against approved budgets and communicate potential variances to management.
  • Ensure travelers receive all required travel documentation, instructions, and pre-travel information, including visa and passport requirements when applicable.
  • Generate travel reports and metrics related to travel activity, expenditures, compliance, and vendor performance.

Key Responsibilities:

  • Assist with support of domestic and international corporate employees and guide through relocation process, creating an excellent customer experience.
  • Is the customer facing representative for PZI relocation management company.
  • Review domestic and international relocation authorizations from corporate clients.
  • Work with travel vendors for approved services, itineraries, and budget items.
  • Point of contact for client, relocatee, vendor, and Relocation group regarding relocation questions or issues.
  • Monitors policy compliance during entire relocation process.
  • Responsible for maintaining compliance of the relocation budget for relocatee.
  • Initiates authorizations to service provider through data entry to portal.
  • Ensure established client relocation policies are followed.
  • Understands entitlements and benefits allowances.
  • Gains approvals for exceptions to policy during relocation process.
  • Ensures completion of assignments by relocatee and vendors.

Results/Accountabilities (Travel Management)

  • Ensures travel arrangements are completed accurately, efficiently, and in compliance with company, client, and contractual requirements.
  • Maintains timely communication with travelers, clients, and vendors to resolve travel-related issues and minimize operational disruptions.
  • Monitors travel expenditures and identifies potential budget concerns or policy exceptions for management review.
  • Maintains complete and accurate travel records to support audits, reporting requirements, and contract compliance.
  • Provides proactive travel support to employees and stakeholders throughout the travel lifecycle, from authorization through trip completion.

Results/Accountabilities

  • Initial point of contact for relocatee, client, and vendor issues and will establish communication lines between all parties to the appropriate final point of contact.
  • Communicates issues and costs to client Relocation group where appropriate.
  • Will require ongoing monitoring of incoming relocation initiation authorizations via email.
  • Assists in answering questions, solving conflicts with policy or vendor issues.
  • Will provide weekly progress reports to clients. This position requires attention to detail, accuracy, and proactive work habits.
  • Compliance with company and client's policy and procedures.
  • Provides exceptions: out of policy/procedures under the direction of your line supervisor.

Relationships with Others' Jobs (Travel Management)

  • Collaborates with Human Resources, Finance, Contracts, Program Management, Security, and Operations teams to coordinate travel requirements.
  • Serves as the liaison between travelers and travel service providers, including travel management companies, airlines, lodging vendors, and transportation providers.
  • Works closely with Accounts Payable and Finance teams to ensure accurate travel expense processing, reconciliation, and invoicing.
  • Provides travel status updates, budget reports, and compliance information to management and client representatives as required.

Relationships with Others' Jobs:

  • Will be working in while most of the team is in US domestic zones. Will require a flexible schedule and self-regulating hours.
  • Provides regular updates to corporate HR and management teams.
  • Tracks, actions, records into EGL® and other systems and measures activities throughout the assignment lifecycle as detailed in the corporate client operations guides.
  • Works with vendors to ensure deliverables and execution.
  • Follow up with Accounts Payable to ensure proper auditing and invoicing.

Qualification Profile (Travel Management)

  • Experience coordinating domestic and international travel, corporate travel programs, or travel management services preferred.
  • Knowledge of travel booking systems, expense management platforms, and travel policy administration. Experience with Conferma is a plus.
  • Familiarity with passport, visa, and international travel documentation requirements preferred.
  • Strong organizational and multitasking skills with the ability to manage multiple travelers, itineraries, and deadlines simultaneously.
  • Experience monitoring travel budgets, auditing expenses, and ensuring compliance with corporate or government travel policies.

Qualification Profile

  • Transportation service provider or vendor experience preferred.
  • Excellent communication skills and customer-service mindset.
  • Proficient in all Office 365 Suites.
  • Ability to work independently, identify problems/develop solutions.
  • Ability to compose original correspondence, draft reports, have effective interaction with people, and to communicate ideas and receive and process information from others.

PHYSICAL REQUIREMENTS AND ENVIRONMENTAL CONDITIONS

The physical requirements and environmental conditions of this position consist primarily of:

  • Visual acuity using a computer monitor for extended time (up to 8 hrs. per day).
