About ICCFA

The International Cemetery, Cremation and Funeral Association (ICCFA) is a trade association dedicated to providing exceptional education, networking opportunities, and legislative guidance to progressive cemetery, funeral, and cremation professionals worldwide.


The Opportunity

ICCFA is seeking a highly organized, responsive, and detail-oriented Meetings Registration & Administration Specialist to support conferences, meetings, webinars, educational programs, and training events throughout the year. This role is the primary contact for registration and attendee support and helps maintain the administrative systems behind continuing education, the Certified Crematory Operator Program (COCP), accreditation, event technology, housing, speaker support, and onsite operations.

Working closely with ICCFA staff, members, speakers, exhibitors, sponsors, vendors, and hotels, the specialist helps create a positive experience before, during, and after events ranging from 150 to 2,500 attendees.


What Youโ€™ll Do

Registration & Attendee Support

  • Set up, coordinate, and maintain registration for conferences, meetings, webinars, educational programs, and training events; process registrations accurately and efficiently.
  • Serve as the primary contact for attendee registration, payments, confirmations, changes, cancellations, substitutions, and housing inquiries.
  • Provide professional, responsive, high-volume customer service to members, attendees, speakers, exhibitors, sponsors, and vendors by phone and email.
  • Review records for completeness, accuracy, and payment reconciliation; generate requested registration reports and attendee data.
  • Complete operational and financial registration closeout after each event and maintain post-event registration and attendance reporting.


COCP & Continuing Education Administration

  • Serve as the primary registration administrator for ICCFAโ€™s Certified Crematory Operator Program (COCP), processing registrations, confirmations, transfers, cancellations, and payments.
  • Coordinate pre- and post-course participant communications and respond to questions about registration, schedules, and logistics.
  • Maintain COCP class rosters, attendance records, testing materials, certificates, participant files, historical records, and reporting; assist with scheduling and administration for online and in-person offerings.
  • Serve as program administrator for ICCFA's AwardForce platform, including configuring judging sessions, monitoring scholarship, certification, and industry award submissions, and supporting judges through the evaluation process.
  • Assist the Meetings Education Manager with continuing education accreditation by preparing applications, supporting documentation, and tracking accreditation deadlines and approvals.
  • Maintain continuing education records, attendee certificates, attendance verification, and post-event reporting to support accreditation compliance.


Housing, VIPs & Event Technology

  • Liaise with hotel housing coordinators, assist with room blocks and housing requests, and communicate reservation information and deadlines.
  • Coordinate VIP registrations, travel details, and special accommodations.
  • Manage attendee, exhibitor, sponsor, speaker, and session information in ICCFAโ€™s event platform and mobile app.
  • Upload and maintain exhibitor and sponsor information; coordinate booth assignments and interactive floor maps.
  • Review app content for accuracy before launch, update conference information throughout planning, and troubleshoot attendee access and app issues.


Speaker, Onsite & Event Operations

  • Process speaker registrations, track presentation deadlines and required forms, and support the Meetings Education Manager with speaker administration.
  • Lead onsite registration; train temporary staff and volunteers and resolve registration and customer service issues calmly and professionally.
  • Create attendee badges, registration materials, signage, and onsite supplies.
  • Pack and ship registration and meeting materials; order supplies and maintain inventory.


Department Administration

  • Serve as program manager for ICCFAโ€™s AwardForce platform, including setting up judging sessions, monitoring scholarship, certification, and industry award submissions, and training judges to assess entries within the system.
  • Draft and send confirmations, reminders, and attendee communications; proofread meeting materials, signage, and correspondence.
  • Maintain department templates, forms, checklists, standard operating procedures, calendars, timelines, project trackers, files, registration records, and historical event documentation.
  • Assist with exhibitor and sponsor data entry, webinar registration and communications, spreadsheets, reports, and committee materials.
  • Monitor and respond to department inboxes; cross-train with Meetings Department colleagues to provide coverage.
  • Identify administrative improvements and support other department projects and responsibilities as assigned.


What You Bring

  • Bachelorโ€™s degree preferred.
  • One to three years of professional experience supporting meetings, conferences, event registration, association or hospitality events, or meeting administration.
  • Required experience with attendee registration, conference logistics, customer service, or event coordination; experience supporting continuing education, certification, webinars, or training events is strongly preferred.
  • Association, nonprofit, hospitality, or conference-environment experience preferred.
  • Experience with registration systems, databases, or an Association Management System (AMS) strongly preferred; comfort learning multiple platforms and adapting to changing technology.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Excellent interpersonal, written, and verbal communication skills, with demonstrated success providing responsive, high-volume service by phone and email.
  • Exceptional organization, attention to detail, accuracy, documentation, recordkeeping, follow-through, time management, responsiveness, and reliability.
  • Ability to manage recurring processes and multiple priorities, meet deadlines, anticipate needs, solve problems, and remain calm and professional in a fast-paced environment.
  • Ability to work independently and collaboratively and communicate effectively with members, attendees, speakers, vendors, hotels, and colleagues.
  • Sound judgment, discretion, and the ability to maintain confidentiality.
  • Flexibility to work overtime, evenings, and weekends during event periods and travel overnight as needed.


Physical Requirements

This role involves some physical exertion during onsite event support and requires the ability to lift and move boxes and conference materials weighing up to 45 pounds.


Salary, Benefits & Schedule

  • Salary range of $53,000โ€“$57,000 annually, based on experience.
  • Medical, dental, and vision coverage; disability and life insurance; a 401(k) plan with employer contribution; vacation and sick leave; and paid holidays.
  • Hybrid schedule in a collaborative, team-oriented office environment.
  • Standard office hours are Mondayโ€“Friday, 9:00 a.m.โ€“5:30 p.m. ET, with flexibility required during conference and travel periods.
