Job Description:
Essential Duties and Responsibilities:
Front Desk Operations:
  • Perform guest check-in and check-out processes efficiently and accurately.
  • Provide excellent customer service, addressing guest inquiries, requests, and concerns.
  • Manage reservations and ensure all guest information is accurate in the system.
  • Assist with guest needs, including wake-up calls, room changes, and additional amenities.
  • Handle guest issues professionally and work to resolve them promptly.
Night Audit Functions:
  • Conduct a detailed audit of financial transactions, including guest folios, cash handling, and credit card charges.
  • Reconcile daily revenue, verify postings, and resolve discrepancies.
  • Prepare and distribute reports such as the Night Audit Report, Revenue Report, and Occupancy Report for hotel management.
  • Close the day's financial activities and generate the Daily Flash Report.
  • Ensure compliance with hotel policies and procedures across all operating departments.
Accounting and Financial Controls:
  • Maintain financial records, including guest ledgers, accounts receivable, and accounts payable.
  • Process and review invoices for accuracy before forwarding them to accounting.
  • Assist with month-end financial reporting and statements.
  • Monitor and control cash handling procedures, ensuring secure storage of funds.
  • Follow all hotel accounting and financial policies, procedures, and controls.
Night Safety and Security:
  • Maintain a secure environment for guests and employees throughout the night.
  • Monitor hotel access and ensure the safety of property and guests.
  • Respond to emergencies such as fire alarms, medical situations, or security concerns in accordance with hotel protocols.
Responsible Business Practices:
  • Adhere to Maya Hotels' policies, procedures, and Code of Ethics.
  • Maintain a clean and professional personal appearance, following Maya Hotels Grooming Policy-a smile is considered part of the uniform.
  • Promote a safe working environment, practice proper cash handling, and comply with safety regulations.
  • Participate in hotel sustainability initiatives, including recycling efforts and reducing energy consumption.
Education, Skills and Abilities:
  • Education: High school diploma or equivalent; additional education in accounting or hospitality is preferred.
  • Experience: Previous experience in front office operations or night audit roles is desirable.
  • Communication Skills: Excellent communication and customer service skills to interact with guests and colleagues effectively.
  • Problem-Solving & Conflict Resolution: Ability to think quickly and resolve guest issues efficiently.
  • Attention to Detail & Multitasking: Ability to work accurately and efficiently in a fast-paced environment.
  • Technical Skills: Proficiency in computer systems, hotel property management software, and basic accounting principles.
  • Cash Handling Experience: Familiarity with handling payments, processing transactions, and balancing a cash drawer.
  • Flexibility: Ability to work various shifts, including evenings, weekends, and holidays.
Physical Requirements:
  • Ability to stand for extended periods of time.
  • Frequent use of hands for typing, writing, bending, reaching and handling office equipment or guest luggage.
  • Ability lifting items up to 25lbs as needed.
