Job description

Our Chalk River location is looking for a Records Assistant I to provide records management and document control services that support operational, regulatory, and business requirements.


What you will be doing!

  • Acting as the main contact to answer routine questions, obtaining and providing information to stakeholders within and outside the organization, ensuring a timely and accurate response.
  • Providing guidance and support to other department employees on records management and information systems.
  • Implementing internal quality controls as well as security measures for the records management system.
  • Supporting hardcopy records management, including the clean-up, sorting, and preparation of records for archiving.
  • Assisting with the preparation, inventory, boxing, labeling, and transfer of records to offsite storage, maintaining records integrity, accessibility, and compliance throughout the process.
  • Processing and performing data entry into a database or electronic filing system.
  • Maintaining hard-copy and electronic filing systems.
  • Other duties as assigned by your manager.

What we are looking for:

  • Education/Experience
    • Successful completion of secondary school (Grade 12) with 5 years of related experience, or college diploma in a related discipline (e.g., Library, Information Management) and relevant work experience.
    • Records Management Certificate is an asset.
  • Knowledge, Skills & Abilities
    • Knowledge of Microsoft Office Suite and Foxit to filter reports, capture documents in PDF format, modify existing procedures and create workflows.
    • General knowledge of the internal databases to search, validate, issue, archive and process documents.
    • General knowledge of company and divisional standards of records management and archival of engineering/project records and their associated documentation.
    • Detail-oriented to identify discrepancies and errors in formatting as well as any inconsistencies with metadata and records.
    • Oral and Written communication skills to relay information one-on-one to interpret existing procedures to customers and coworkers.
    • Tact and courtesy in dealing with internal customers.
  • Security Clearance Eligibility Required
    • Level 2 Secret requires a minimum of 7 years of verifiable history in Canada, Australia, New Zealand, the United States, and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat's "Standard on Security Screening" and the "Policy on Government Security."

Working Conditions:

  • Working schedule: Five (5) days per week, seven and a half (7.5) hours per day for a thirty-seven and a half (37.5) hour work week.
  • This position is part of the USW4096 Union and is governed by the terms and conditions outlined in the USW4096 Collective Agreement. As a member of this bargaining unit, you'll benefit from clear expectations around hours of work, wages, vacation, and other conditions that support a fair and consistent working environment.

Location: Hybrid

Please note: This is a hybrid position, with a combination of remote work and onsite presence at our Chalk River Laboratory, Ontario.
