Job description

Title: Human Resources Coordinator/District Receptionist

Qualifications:

  • B.A. Degree in human resources, and/or education, and related human resources experience preferred
  • 3+ years of experience in Human Resources is preferred

Reports To: Superintendent of Schools

FLSA Status: Exempt

Performance Responsibilities:

  • Greets and assists visitors and staff courteously and professionally.
  • Receptionist answers and directs incoming telephone calls; takes and relays messages as needed.
  • Monitors online application sites and submits reports to administrators.
  • Issues employment letters and contracts for new employees.
  • Assists with New Employee Orientation.
  • Plans and directs HR functions for the School District; develops and implements HR related programs, policies, and procedures.
  • Stays current with federal and state mandates and regulations relating to HR practices and procedures (FMLA, FLSA, etc.).
  • Processes applications for employment.
  • Assists with preparing and posting advertisements for staff vacancies on the district website.
  • Maintains security protocols by monitoring visitor sign-in/sign-out.
  • Provides clerical support, including filing, copying, scanning, and faxing documents.
  • Distributes mail, packages, and inter-office correspondence.
  • Maintains front office supplies and places orders as needed.
  • Assists with maintaining and processing daily staff attendance reports using the internal database.
  • Secures substitute teachers as necessary and notifies the department chairpersons and principals of absences. Acts as substitute coordinator.
  • Assures that new employees are hired at the appropriate step and lane, per specific employee agreements/contracts.
  • Schedules appointments/interviews.
  • Maintains employee files to ensure accuracy and compliance.
  • Gathers, files, and maintains the background checks.
  • Completes HR onboarding sheet and files it in the new employee's file.
  • Follows up with new hires on needed paperwork within the necessary timeframe.
  • Creates and maintains the district 1-9 binder (update annually)
  • Facilitates the integration of new employees into the school district.
  • Supervises the daily workflow of the Human Resource Department's integration of new employees, including the collection of required employment documentation, background checks verification, initial placement of salary schedule, and placement on the Board agenda.
  • Manages and enters all new employees into the Frontline and Sykward systems.
  • Informs employees of the conditions and consequences of their benefit enrollment choices.
  • Performs all other assigned duties.

Terms of Employment: 12 months (260-day calendar)
