Job Summary:

The Receptionist, under direct supervision, provides administrative and clerical support to a department or multiple departments. This person performs clerical and administrative functions such as greeting guests, employees and visitors, drafting correspondence, incoming/outgoing mail, scheduling appointments, organizing and maintaining paper and electronic files, and coordinating location activities.

  • Receives and greets visitors, employees, customers or other business partners, ensures they follow all visitor security protocols and guidelines.

  • Coordinates all visitor, employee, customer and/or other business partner inquiries, and directs them to the appropriate persons according to business needs.

  • Audit visitor security log daily and report any security variances.

  • Answers telephones and gives information to callers, takes messages, or transfers calls to appropriate individuals.

  • Data entry from multiple sources into MS Excel spreadsheet or database applications.

  • Operates office equipment such as fax machines, scanners, copiers, and phone systems, and uses computers for spreadsheet, word processing, database management, data entry, and other applications.

  • Opens, reads, routes, and distributes incoming mail and other material and answer routine letters.

  • Completes forms in accordance with company procedures.

  • Makes copies of correspondence and other printed materials.

  • Coordinates and maintains up to date vendor/supplier certification program.

  • Sets up and maintains paper and electronic filing systems for records, correspondence, and other material in support of record retention program. This includes confidential filing and recordkeeping.

  • Opens, routes, and distributes incoming mail and other material and answer routine letters.

  • Support outgoing parcel activities.

  • Completes forms in accordance with company procedures.

  • Makes copies of correspondence and other printed materials.

  • Orders all office supplies, business cards and company stationary. Ensure company approved logos for correspondence is followed, i.e. stationary and business cards. Order from approved sources.

  • Composes, types, and distributes emails, routine correspondence, and reports.

  • Maintain and coordinate company meeting room space for engagement activities, meetings and training sessions.

  • Coordinate and support business and employee engagement activities, to include meal and space planning.

  • Adhere to the Saputo code of ethics and actively apply the Saputo values.

  • Work together professionally in a team environment with coworkers and other department personnel.

  • Maintain plant visitor calendar and coordinate meetings (candidates, clients, vendors, suppliers, customers, visitors).

  • Provide Plant Manager with administrative support as necessary.

  • Support other departments as needed and perform other duties as required by management.

Job Requirements:

  • High School Diploma or equivalent.

  • Minimum of 2 years office experience, preferably as an Administrative Assistant.

  • Proficiency in Microsoft Office Suite, including Excel, PowerPoint, and Microsoft Word.

  • Ability to demonstrate a high degree of initiative.

  • Excellent verbal/written communication skills.

  • Ability to communicate with others at all levels in organizations.

  • Strong organizational skills and the ability to multi-task.

  • Ability to maintain the highest level of confidentiality.

  • Ability to adapt to changing organizational and operational needs.
