Job description

Receptionist / Administrative Assistant

The Receptionist / Administrative Assistant serves as the first point of contact for visitors and callers while providing administrative support to ensure the office runs smoothly. This role requires a professional, customer-focused individual who can effectively manage multiple priorities, maintain an organized office environment, and support various departments as needed.

Key Responsibilities

  • Greet visitors with a friendly, welcoming attitude and assist with directing guests to meeting areas.
  • Answer and route incoming calls through a multi-line phone system.
  • Manage incoming and outgoing mail and package deliveries.
  • Maintain a clean, organized, and professional reception area, conference rooms, and common areas.
  • Order and restock office and kitchen supplies.
  • Coordinate lunches, meetings, and other office events as needed.
  • Assist with preparing new hire welcome materials and onboarding kits.
  • Support marketing and HR initiatives by assembling, organizing, and shipping materials.
  • Coordinate shipments through carriers such as FedEx and UPS.
  • Provide general administrative support and assist with special projects as needed.

Requirements

  • Previous receptionist, administrative assistant, or customer service experience.
  • Strong customer service and interpersonal skills.
  • Professional, friendly, and welcoming demeanor.
  • Excellent verbal and written communication skills.
  • Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office and general office equipment.
