About the Role:

The Payroll / Receptionist Clerk plays a vital dual role within a healthcare or social assistance setting, ensuring smooth administrative operations and accurate payroll processing. This position is responsible for managing employee timekeeping records, preparing payroll data, and ensuring compliance with relevant labor laws and organizational policies. Additionally, the role serves as the first point of contact for visitors and callers, providing professional and courteous reception services that reflect the organization's commitment to care and service excellence. The successful candidate will coordinate communication between staff, management, and external parties, supporting overall operational efficiency. Ultimately, this role contributes to a positive workplace environment by combining meticulous payroll administration with welcoming and effective front-desk support.

Minimum Qualifications:

  • High school diploma or equivalent.
  • MUST be proficient in ADP Workforce and and Microsoft Office Suite (Word, Excel, Outlook)..
  • Proven experience in payroll processing or clerical administrative roles.
  • Proven experience in Accounts Payable.
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent verbal and written communication skills.

Preferred Qualifications:

  • Associate degree or certification in payroll administration, human resources, or related field.
  • Experience working in the healthcare or social assistance industry.
  • Familiarity with healthcare-specific payroll regulations and compliance requirements.
  • Proficiency with advanced payroll systems and timekeeping software.
  • Customer service experience in a reception or front desk environment.

Responsibilities:

  • Process and verify employee time sheets, attendance records, and leave requests to prepare accurate payroll submissions.
  • Maintain payroll records and ensure compliance with federal, state, and local regulations related to employee compensation and benefits.
  • Greet and assist visitors, patients, and staff in a professional and courteous manner, managing the front desk reception area.
  • Answer, screen, and direct incoming phone calls and emails, providing timely and accurate information or routing inquiries appropriately.
  • Coordinate appointment scheduling, maintain office supplies, and support general administrative tasks to facilitate smooth office operations.
