Description
As a HR Admin Receptionist at Van’s Kitchen, you will be the first point of contact for visitors, customers, and employees. You will play a vital role in creating a warm and welcoming environment that reflects our faith-based values. Your responsibilities will include answering and directing phone calls, assisting with administrative tasks, and providing exceptional customer service.

Essential Job Duties & Responsibilities:
  • Greet visitors and provide a friendly, hospitable, welcome.
  • Answer incoming phone calls and direct them to the appropriate department or individual.
  • Manage and maintain the reception area, ensuring it is neat and organized.
  • Check and forward company voicemails
  • Assist with administrative tasks such as data entry, filing, stocking office supplies, sorting mail. 
  • Help coordinate and schedule appointments for employees and visitors.
  • Maintain and update visitor logs.
  • Ensure that all visitors adhere to security protocols and sign in as required.
  • Serve as a liaison between visitors and employees, providing assistance and information as needed.
  • Help management from different department with administrative tasks. 
  • Handle general inquiries about the company.
  • Feed the fish, turn on TVs in the lobby.
  • Assist with special projects and events as needed. (special events, SOP’s, setting up interviews)
  • Uphold the company's values in all interactions and communications.
  • Setting up security badges and pictures of new hires for Production Manager’s office. 
  • Other duties as assigned.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Strong problem-solving skills and the ability to adapt to changing priorities.
  • Strong sense of urgency. 
  • Willingness to learn and receive constructive feedback. 
  • Level headed at all times, no emotional responses, excitability, or lack of discretion. 
  • Ability to keep private information confidential. 
  • Asks questions when unsure, before acting. 
  • Always be proactive vs. reactive.  
  • Ability to assist with set up of Zoom and Team meetings in conference rooms per the office calendar. 
Required Qualifications & Experience:
  • Strong commitment to the values and mission of Van’s Kitchen
  • High school diploma or equivalent; additional education or training in office administration is a plus.
  • Previous receptionist or customer service experience is preferred.
  •  Bilingual in English and Spanish preferred, but not required 
Physical Requirements:
While performing the responsibilities of this job, the employee must be able to access all equipment of the workstation and other areas as needed. Frequent lifting, bending and twisting. Lifting up to 25 lbs. is required to complete some daily tasks.

Work Environment:
