Job description

The Assistant Director of Admissions reports directly to the Senior Associate Director of Admissions and is based in the Rinker Welcome Center on Stetsonโ€™s DeLand campus. This position serves as a primary recruiter with a defined territory focused on music majors and minors.

As the central point of contact for prospective music students, this role guides students through the admissions process from application to enrollment. The Assistant Director works closely with the School of Music to ensure coordinated outreach, clear communication, and unified service to students and families.

Essential Job Functions and Responsibilities:
  • Recruiting and managing a designated admissions territory focused on music majors and minors, utilizing a strategic outreach plan aligned with university-wide recruitment practices, Enrollment Management expectations, and admissions goals.
  • Conducting regular outreach via phone, email, text, virtual meetings, and in-person conversations to engage prospective students and families, with weekly outreach ranging from approximately 100โ€“200 calls during peak periods.
  • Represent Stetson University at high school visits, college fairs, and community events to promote academic programs, student life, and financial aid opportunities. Heavy travel will take place from August through beginning of November and will pick up again mid-Spring. An estimate of 20-30 college fairs and high school visits is what is expected of this position.
  • Guiding prospective students, families, through the admissions and enrollment process, including applications, admissions decisions, enrollment steps, scholarship awards, financial aid processes, housing, campus life, key university deadlines, individual meetings, group presentations, and campus visit conversations.
  • Managing application processing, file review workflow, admissions checklist completion, throughout the recruitment cycle, including evaluation of applications for admission and scholarship eligibility and preparation of admissions committee recommendations.
  • Maintaining accurate and timely activity in Technolutions Slate and other university systems, including student interaction records, database maintenance, recruitment tracking, records accuracy, data integrity, enrollment trends, application movement, deposit activity, admissions reports, and goal progress.
  • Supporting university-wide Admissions events which is around 7-10/year and Enrollment Management initiatives in coordination with the School of Music.
  • Lead engaging group presentations, individual meetings, and campus tours for prospective students and their families.
  • Performing other duties as assigned to support enrollment goals, including work during varied hours such as evenings, weekends, and some holidays.

Required Knowledge, Skills, and Abilities:
  • Demonstrated excellence in oral and written communication skills producing and presenting information in a concise and compelling manner.
  • Ability to work effectively in an entrepreneurial environment committed to high standards of performance and ambitious goals for growth and institutional development.
  • Proven ability to work effectively as a member of a team and foster collegial relationships with diverse constituencies, such as faculty, students, alumnae, and staff.
  • Strong computer skills and experience with database management.
  • Demonstrated competency in data collection and analysis relevant to interpreting market trends, competition, and admissions and enrollment statistics.
  • Must possess and maintain a valid driverโ€™s license and be insurable under the universityโ€™s auto fleet policy.
  • Must be able to drive and travel on your own for specific travel to college fairs, national conventions, or high school visits to promote Stetson.
  • Must be able to work varied hours: regular hours, nights, weekends, and some holidays.
Required Qualifications:
  • High School diploma and bachelorโ€™s degree from an accredited four-year college or university
  • Valid driverโ€™s license and an insurable driving record
  • 1-2 years of experience in admissions and/or enrollment management
Ideal Candidate Qualifications:
  • 2โ€“4 years of experience in admissions and recruitment of special population recruitment specifically but not limited to, music and performing arts.
Work Environment:

The Enrollment Management division is in an open-aired work environment with about 20-30 employees working at the same time. Noise level can be high at times, during meetings, and calls. Office space is inside, but Admissions events, and some travel require work to be done outside. This is an on-site position on the DeLand campus, where being in the office to assist families and team members is necessary.

Work authorization sponsorship may be available for this position. However, sponsorship is contingent upon the non-applicability of the visa petition fees outlined in the relevant Executive Order signed September 19, 2025. Due to the recent federally-mandated increased financial expense, the university is not in a position to absorb this significantly increased cost of sponsorship for new H-1B petitions at this time. International candidates are encouraged to apply, but should be aware that eligibility for sponsorship will be evaluated in accordance with current U.S. immigration regulations and institutional policies.
