Real Estate Client Experience, Events & Marketing Coordinator

The Role

Our operations lead (Julie) runs the transaction and logistics engine — she’s excellent, and she’s covered. What we need next is someone who owns the client experience: the warmth, the follow-through, the thoughtful touches, the events, and the brand support that makes people say:

“Dang… they really care.”

This is not a transaction coordinator role. This is experience + energy + brand support.

Julie protects the machine. You protect the feeling.

Compensation:

$65,000 - $75,000


Responsibilities:

What You’ll Actually Do

Client Experience (“Care Bear” Energy — for Real)

  • Run client care systems: gifts, handwritten notes, home anniversaries, milestone celebrations, and “just because” touches
  • Keep the database warm with thoughtful outreach rhythms so no one slips through the cracks after closing
  • Track client engagement and suggest ways to improve the experience over time
  • Turn great moments into repeatable systems — without making it feel robotic

Events (The Fun Part That Still Needs Precision)

  • Plan and execute client appreciation events, open houses, pop-bys, and community moments
  • Coordinate vendors, RSVPs, timelines, budgets, and on-site flow
  • Be the on-site point person during events — making sure everything runs smoothly and classy

Operations Support & Vendor Coordination

  • Back up Julie with overflow operational tasks during busy periods — follow-ups, scheduling, and transaction support when needed
  • Coordinate repair vendors on behalf of clients: get bids, schedule work, track progress, and see it through to completion
  • Manage project timelines for client repairs and improvements, keeping all parties informed and on track
  • Produce simple reports and tracking logs so Terry always knows where things stand — no surprises
  • Think ahead: anticipate what’s coming next, flag potential problems before they happen, and come ready with solutions

Marketing Support (Sharp, Not Director-Level)

  • Design simple, clean assets using Canva or Adobe Suite (event flyers, social graphics, email newsletters)
  • Schedule and organize social posts and email campaigns
  • Partner with Terry on creative ideas so he can stay focused on clients and big-picture work
  • Help maintain brand consistency across platforms

What You Will NOT Be Doing

  • You will not own core transaction coordination — that’s Julie’s domain
  • You will not be the primary operations hub — but you will step in and support when volume spikes

You Have Experience With:

  • Basic design tools: Canva, Adobe Suite, or similar
  • Managing multiple projects and priorities at once
  • Clear written and verbal communication
  • Must be able to commute daily to our Edmonds/Woodway office. Remote or hybrid work is not available.

Nice to Have:

  • Real estate or client-facing service background
  • Familiarity with CRM systems (kvCORE, Follow-Up Boss, or similar)
  • Light photo or video editing experience
