Overview

The Real Estate Coordinator is responsible for supporting the real estate team by helping organize real estate packages, schedules, approval materials, project trackers, and cross-functional communications for retail stores, outlet stores, and related real estate assets. This role reports to the VP of Real Estate, and coordinates with internal departments to help keep real estate initiatives organized, timely, and aligned with business priorities.

Key Responsibilities
  • Provide general administrative and coordination support to help the real estate team keep project materials, schedules, communications, and internal deliverables organized.
  • Maintain and update real estate project trackers, pipeline, schedules, landlord and vendor contact lists, site information, approval status reports, and related materials used by the real estate team.
  • Track key real estate deadlines, meeting dates, internal review milestones, site package due dates, approval timelines, and follow-up items across active projects.
  • Assist with compiling real estate packages for the real estate committee for new stores, relocations, renewals, closures, remodels, and other projects, including site information, deal summaries, plans, schedules, photographs, and supporting materials.
  • Coordinate meetings, agendas, materials, and follow-up items with Real Estate, Legal, Finance, Accounting, Construction, Store Operations, Store Design, and other internal departments.
  • Prepare and distribute internal schedules, status updates, meeting notes, package checklists with construction, and action-item logs to support timely decision-making.
  • Coordinate document circulation, signature routing, package updates, and internal distribution of real estate materials as directed by the real estate team.
  • Maintain organized electronic files for real estate packages, schedules, presentations, plans, approvals, and related project materials so they are current and accessible.
What You Bring
  • Bachelor’s degree in Real Estate, Business Administration, Finance, Hospitality, or a related field preferred (or equivalent practical experience).
  • 1–3 years of administrative or coordination experience, ideally in Commercial Real Estate, Retail Real Estate, Facilities, or Construction.
  • Proficiency in Microsoft Office Suite (advanced Excel and PowerPoint skills required for tracking datasets and building committee presentations).
  • Familiarity with real estate lifecycle management software, deal tracking tools, or database software (e.g., Lucernex, Smartsheet, Salesforce, or similar) is a plus.
  • Outstanding attention to detail with proven ability to prioritize tasks, track complex timelines, and keep multiple moving projects organized simultaneously.
  • Clear, concise written and verbal communication skills; comfortable collaborating cross-functionally with team members, senior leadership, external brokers, and landlords.
  • A self-starting and "can-do" attitude who anticipates needs, follows up on outstanding action items, and thrives in a fast-paced environment.
