Job description

Overview
A third-party commercial real estate management company is seeking a qualified, professional, and customer-focused individual to support operations within a building (or portfolio of buildings) located in downtown New Orleans. This position works closely with the Property Manager, Chief Engineer, and other building support staff to ensure efficient property operations and exceptional tenant service.
Essential Duties and Responsibilities
  • Work closely with the Property Manager in the day-to-day management of the property.
  • Serve as a professional point of contact for tenants and provide excellent customer service at all times.
  • Assist the maintenance team with coordinating, tracking, and reporting work order requests.
  • Communicate and coordinate with vendors, suppliers, contractors, and service providers.
  • Support property accounting functions, including rent collections and posting, accounts payable processing, budget preparation assistance, annual operating expense reconciliations, and maintenance of Certificates of Insurance (COIs).
  • Answer, screen, and direct incoming phone calls and messages.
  • Provide administrative support to the leasing team as needed.
  • Assist with preparation of correspondence, reports, documentation, and marketing materials.
  • Maintain and update the property website and tenant communications platform.
  • Manage multiple priorities while meeting established deadlines and project timelines.
  • Maintain accurate and organized property records and files.
Education and Experience
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Minimum of three (3) years of administrative or office support experience required.
  • Previous experience in commercial real estate, property management, or a Class A office building environment is preferred.
  • Experience supporting accounting, property operations, or tenant relations is a plus.
