Real Estate Technology and Process Analyst-Ruddell Group

About the Role

This is a unique opportunity to collaborate directly with the Founder of a fast-growing commercial real estate investment and development company. You will gain firsthand exposure to acquisitions, development, leasing, operations, finance, technology, and entrepreneurship while helping build the systems that support our growth.

The single most important part of this role is being a systems, automation, and process-oriented thinker who can improve how our business operates every day.

Location: Birmingham, AL

Core Responsibilities

Automation, Systems & Process Improvement (Top Priority)

  • Build, maintain, and improve Microsoft Power Automate workflows.
  • Manage and optimize SharePoint, Teams, OneDrive, and Microsoft 365 environments.
  • Create automated approval processes, notifications, reporting systems, and document workflows.
  • Implement AI tools, Microsoft Copilot, Forms, Lists, Planner, and Power Platform solutions.
  • Document and improve business processes through Standard Operating Procedures (SOPs).
  • Identify bottlenecks and recommend technology-driven solutions.
  • Ensure company data, files, and systems remain organized, accessible, and scalable.

Information & File Management

  • Own company folder organization and document management.
  • Maintain SharePoint and shared drive structures.
  • Ensure all files, projects, marketing materials, and property documents are properly labeled and up to date.
  • Establish organization standards and hold systems accountable to those standards.

Real Estate & Marketing Support

  • Create property presentations, offering memorandums, flyers, brochures, and investor materials.
  • Conduct market and property research.
  • Maintain property databases and project information.
  • Support acquisitions, leasing, development, and asset management initiatives.
  • Assist with financial analysis and project reporting.

Founder Support

  • Work directly with the Founder on strategic projects.
  • Assist with special initiatives as the business grows.
  • Help implement new systems, ideas, and technologies.
  • Be a trusted resource for getting things done quickly and accurately.

Qualifications

Required

  • Strong experience with Power Automate and workflow automation.
  • Experience with SharePoint, Teams, OneDrive, and Microsoft 365.
  • Six Sigma Green Belt Certification. 
  • Highly organized with exceptional attention to detail.
  • Strong technology aptitude and willingness to learn new systems.
  • Excellent communication and problem-solving skills.
  • Self-starter mentality with the ability to take ownership of projects.

Preferred

  • Experience with Power Apps, Power BI, Microsoft Lists, Planner, Forms, and Copilot.
  • Familiarity with AI tools and process automation.
  • Real estate, finance, business, or operations experience.
  • Strong PowerPoint and Excel skills.
  • Experience creating professional marketing materials.
