REAL ESTATE ASSISTANT WITH FOCUS ON CLIENT CARE & TRANSACTION COORDINATION


We are looking for a warm, organized, dependable person to become an important part of our real estate team and client experience.


This is a full-time, in-person position in our upscale real estate brokerage. This role is perfect for someone who genuinely enjoys helping others, creating calm and order behind the scenes, and making sure people feel supported and cared for throughout the home-buying and selling process.

Compensation:

$40,000 - $60,000 yearly


Responsibilities:

Full Transaction Management (Client Acquisition to Close)

  • Manage all aspects of transactions from executed contract through closing
  • Assist with preparing listings for the market, including scheduling photography, staging consultations, signage, lockboxes, and vendor coordination
  • Prepare and ensure listing files, disclosures, and MLS inputs are accurate
  • Track showing activity, agent feedback, and listing milestones while helping ensure no details are missed
  • Track contract deadlines, documents, inspections, appraisals, and closing timelines
  • Coordinate with lenders, title companies, agents, inspectors, and vendors
  • Coordinate inspections, closings, appointments, and client logistics
  • Ensure files are complete, accurate, and compliant
  • Keep clients informed throughout the transaction process
  • Proactively identify and solve issues before they become problems


Lead Follow-Up + Client Care

  • Track and manage incoming leads and inquiries
  • Nurture leads and maintain organized communication records


Client Communication + Concierge Support

  • Send weekly seller updates for active listings
  • Send weekly buyer updates for active buyers
  • Draft polished, client-friendly communication in the brand voice

Qualifications:
  • Real estate experience, specifically transaction coordination experience, is strongly preferred
  • Strong written and verbal communication skills
  • Excellent organizational abilities
  • Comfortable learning and using CTM contracts and Trello
  • Professional, positive, and solution-oriented mindset
