Job description

Description:

Burr & Temkin was founded over 40 years ago. Our firm is a recognized leader in the sales, leasing, and consulting for transportation and ecommerce-oriented properties on a nationwide basis. Burr & Temkin currently operates out of seven regional offices and represents, in varying capacities, many of the largest transportation users in the marketplace. Additionally, our firm works with hundreds of transportation property owners, ranging from large institutional investors with portfolios in the hundreds, to private owners with a single property. 


Our team in the Seattle area (Issaquah, WA) is looking to add a full-time (30-40 hours per week) Real Estate Administrative Support Associate to bolster our already successful team. We are looking forward to keeping our momentum going in 2026 and bringing onboard a “go-getter” that will provide analytical administrative and transactional support. 


Note: Applicants must already reside in the Greater Seattle area to be considered. 


Administrative Management & Sales Executive Support:

  • Provide administrative support to ensure efficient operation of the office, such as answering and directing calls, greeting clients, scheduling meetings, drafting and distributing correspondence, filing, copying, etc.
  • Organize and maintain electronic and physical files for real estate transactions, ensuring they are easily accessible and properly categorized. Ability to review files for pre-audit compliance.
  • May provide informal assistance such as technical mentorship and/or training to co-workers
  • May coordinate travel, meetings, and other related sales support functions. 


Research, Data Entry, & Maintenance:

  • Enter and update real estate data into databases, spreadsheets, or other software systems with a high level of accuracy and attention to detail.
  • Ensure data integrity by verifying and validating information from various sources, including property records, leases, contracts, and market reports.
  • Regularly review and clean up data to remove duplicates, correct errors, and enhance data quality.
  • Regularly update and reconcile data to reflect changes in property listings, market conditions, and other relevant information.
  • Navigate municipal information (county, zoning, etc.)


Transaction Management:

  • Assist the team with preparing and reviewing real estate contracts, disclosures, requests for proposals (RFP), letters of intent (LOI) and other transaction related documents for accuracy and completeness.
  • Aid in the updating and tracking of transaction progress, ensuring critical date milestones are met.
  • Compile due diligence for clients, such as surveys, summary reports, maps, and status updates
  • Gather, organize, and file materials necessary for transactions, such as agreements, leases, etc.
  • Compile and ensure accuracy of closed deal comparables, files, and state mandated record retention.

Marketing:

  • Assist Marketing Director with publication and dispersing of marketing material, such as monthly property catalog, brochures, email marketing campaigns, etc.
  • Aid in the sourcing, maintenance and updating of marketing contact and mailing lists
  • Assist in the gathering and organizing of data for marketing reports, such as listing proposals, marketing updates, broker opinion of values (BOV), etc. Review and compile analytics reports.
  • Manage listings on various MLS platforms (CBA, Loopnet, Costar, Crexi, etc.)

Reporting & Presentation:

  • Assist with budget preparation by researching costs for supplies and services and acquire bids, as required.
  • Assist with preparation of monthly and quarterly client and management reports.
  • Prepare and manage listing progress reports.

Requirements:
  • Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future.
  • High school diploma/general education degree (GED) and a minimum of three years of related experiences or training in customer service and administration, preferable in real estate, lending, title/escrow, or investment setting. Associate or Bachelor’s Degree with an emphasis in Business is a plus.
  • Real Estate license a plus; if unlicensed, must be willing to acquire within 6 months.
  • Ability to comprehend, interpret, and carryout general instructions, correspondence, and memos and ask clarifying questions to ensure understanding.
  • Excellent written and verbal communication skills to present complex information in a clear and concise manner. 
  • Ability to effectively present information to an internal department and/or large group of employees.
  • Requires basic knowledge of financial terms and principles, real estate, construction, and lending concepts.
  • Intermediate to advanced skills with Microsoft Office Suite (specifically, Word and Excel)
  • Proficiency in using data entry and management software, spreadsheets, and database tools, such as Salesforce.
  • General understanding of AI tools.
  • Ability to plan, organize, and prioritize assignments, and to meet critical and established deadlines; ability to manage multiple assignments simultaneously.
  • Flexibility and ability to work under pressure with tight deadlines and constant interruptions; ability to adjust priorities in a changing environment.
