WPM Real Estate Management is seeking a highly organized and proactive Administrative Assistant to support our Multifamily Real Estate division. This role works closely with Regional Property Managers and leadership, providing critical administrative support that helps ensure the smooth operation of our apartment communities and regional management teams.

What You'll Do
As the Administrative Assistant, you will provide comprehensive support to the Multifamily Real Estate (MRE) division, including:
  • Prepare agendas, gather supporting documents, coordinate logistics, take meeting minutes, and track follow-up action items
  • Manage multiple Outlook calendars for Regional Property Managers
  • Coordinate division-specific training programs
  • Create and distribute resident renewal letters
  • Provide outstanding customer service when handling resident inquiries and concerns
  • Collect credit card receipts, reconcile statements, and support Accounts Payable processes
  • Assist with year-end budget preparation and data entry
  • Coordinate resident and associate events
  • Support state and local licensing inspections and renewals
  • Track vendor contracts, collect bids, and assist with agreement renewals
  • Maintain departmental documents and shared resources
  • Coordinate onboarding and offboarding activities for properties
  • Update emergency contact and phone lists
  • Complete credit applications as needed
  • Prepare courier deliveries for apartment communities
  • Manage the MRE new-hire gift process
  • Provide front desk coverage when needed
  • Perform other administrative duties that support the success of the Multifamily Real Estate division

What We're Looking For
  • High school diploma or equivalent
  • Strong administrative and organizational skills
  • Excellent verbal and written communication abilities
  • Ability to manage competing priorities and deadlines
  • Strong customer service skills
  • Proficiency with Microsoft Office, including Outlook
  • Ability to learn new software and systems quickly
  • Valid driver's license and reliable transportation
  • Professional judgment and ability to handle confidential information with discretion

Required Qualifications
  • Previous property management experience
  • Experience supporting multiple managers or departments
  • Experience coordinating meetings, events, or training programs

Compensation & Benefits:
